Performs basic to intermediate clerical and administrative tasks related to the daily operations of the University Library.

Duties

  • Maintenance of serials subscriptions:
    • Daily check-in of periodical subscription materials in Sierra.
    • Cancelation and ordering of periodicals and standing order subscriptions.
    • Withdraw issues from the shelves in accordance with the library’s holdings policy.
    • Claiming of missing issues.
    • Communicate with vendors regarding invoices, payments, etc.
  • Library acquisitions duties:
    • Ordering of materials for the collection (books, DVD’s, etc.).
    • Processing daily recommendations from selectors in both Amazon and GOBI3.
    • Using the purchasing card to direct order materials unavailable from our primary vendors.
    • Receipt, check-in, and proper routing of new materials as they arrive.
  • Performs financial and accounting duties such as:
    • Reconciliation of departmental purchasing card.
    • Processing invoices for payment via Buyway.
    • Ordering supplies via university approved vendors.
    • Maintain cash drawer and deposit receipts for fines.
  • Performs technical services tasks such as:
    • Processes the library’s withdrawn materials requiring knowledge of both the Sierra ILS and Connexion cataloging client.
    • Prints replacement spine labels as needed.
    • Coordinating bindery and repair shipments to King Library Tech Services.
    • Coordinating transfer of materials to SWORD.
    • Assists with inventory activities.
  • IT related functions:
    • Trouble shoots computer problems (basic hardware and software issues).
    • Maintains the library’s collection of circulating equipment (cameras, laptops, etc.).
    • Designs spreadsheets and databases as needed to streamline library operations and increase departmental efficiencies.
    • Performs technical tasks such imaging the library’s 62 public workstations and resolving printing issues both internally and with MOM printers.
    • Encodes DVD materials to streaming format to be viewed online.
  • Participates in staffing the circulation and reference desks – must become familiar with library policies as well as the subjects covered in the library collection and common assignments students regularly bring into the library.
  • Oversees student assistants in tasks associated with periodicals, receipt of library materials, mail check-in, and physically processing materials for discard.

Other duties as assigned

Minimum Qualifications

Requires nine months of coursework or training beyond high school and two years of Library experience, or equivalent combination of education and experience.

Preferred Qualifications

Knowledge of library policies and procedures; knowledge of computer and library related software including Windows, Microsoft Office, Innovative Interfaces Sierra circulation and cataloging modules, OCLC Connexion, printers, digitizing video and audio, and various multimedia technologies.

Associate’s degree; familiarity with library practices and procedures; flexibility in a constantly changing environment; a willingness to identify and learn new technologies; proven written and interpersonal communication skills; ability to handle multiple tasks at once, assign priorities, and meet absolute deadlines.
