Detailed Job Description

The Administrative Assistant II provides support to the Director and Associate Director of Student Life. Performs administrative functions related to the Office of Student Life. Work directly with students, faculty and staff in the coordination of several departmental programs such as: Associated Students of the University of La Verne (ASULV), Campus Activities Board (CAB), Leadership Education and Development (LEAD), New Student Orientation, Greek Life programs and other related Division of Student Affairs assignments and committees.

Specific Duties

*Coordinate program and staff calendars/action plans, answers phones, arranges meetings, acts as liaison to staff, student leaders, and departments. Serves as initial point of contact for faculty, administrators, staff, on-campus and off-campus students, vendors and community representatives. Manage and track all departmental budgets and process all payments, purchase requisitions, and check requests as assigned.
*Coordinate federal work study and non-work study student employees’ payroll, timecards, personnel files, and other related paperwork related to hiring, training and maintaining employees. Coordinate student leader stipends and trains students on administrative functions within the Office of Student Life program areas Associated Students of the University of La Verne (ASULV), Campus Activities Board (CAB), Greek Life programs, Leadership Education and Development (LEAD), New Student orientation.
*Process, track and compile data related to Division of Student Affairs Assessments and program reviews. Coordinate storage of all data, as well as archival records of all program assessments.
*Maintain inventory of supplies within Office of Student Life.
*Organize all travel arrangements for the Office of Student Life staff and student leaders.
*Coordinate Banner grade checks for student leaders, workers and maintain files related to student academic records and participation in co-curricular leadership experiences. Develop and track student participation in all program areas related to Banner software and data inventories.
*Coordinate/create/update departmental websites and brochures including but not limited to: Office of Student Life, Greek Life, Campus Activities Board, ASULV, LEAD and New Student Orientation publications.
*Assist in the creation and implementation of annual departmental goals.
*Other duties as assigned by the Director and/or Associate Director of Student Life.

Minimum Qualifications

HSD; 2 Years Clerical Experience
1 Year Event Planning/Coordination
Microsoft Office (word, excel, power point)
