Performs a variety of administrative and clerical tasks in support of Department's daily operations.


Functions & Duties:

— Primary answering of phone and greeter and of clients, prospective clients, and other office customers related to client service and office function; schedules appointments; and coordinates office calendaring system.

---Provides primary assistance to the Associate Director for Clinical Services in overseeing records creation and management.

—Works closely with the Program Associate/Office manager to share provision of general clerical support and assistance on administrative departmental functions, including word processing, use of Excel spreadsheets, electronic mail, scheduling software, and billing. 

—Compiles, updates, maintains, and/or prepares computer/paper records; assists in preparing reports and filing.

—Assists in training and supervising student employee, orienting new employees to office procedures, processing client files, filing, etc.

—Assists with special projects, events, and mailings, and performs other related duties as may be required.

—Handles multiple tasks on a continuous basis, with interruptions.


Detailed Duties of the Position:

—Communicates to others the services offered in Student Counseling Service, and supports the clinical staff in carrying out these services.

—Schedules confidential client appointments using Titanium software program, handles telephone calls, greets students, parents, colleagues, and visitors.

—Maintains appropriate confidentiality in storing, accessing, transferring, and disposing of records, whether these are written, automated, or in any other medium.

--In accordance with law, keeps the confidential material in designated secure areas.

--Compiles confidential Weekly Client Lists, Weekly Statistics, Client Lists, end-of-the-year statistics, and the Annual Report.

—Keeps inventory of office supplies and orders as needed.

—Keeps inventory of the self-help books that are checked out.

—Coordinates office space for the clinical staff along with the regular staff.

—Processes daily billing.

--Maintains departmental calendar.

--Maintains SCS email account.

-- Other duties as assigned.

Minimum Qualifications

Six months of business or administrative related coursework or training beyond high school and one year of related experience.

Preferred Qualifications

Experience providing reception duties within a health care providing department.
