Detailed Job Description
The Facilities Budget and Financial Analyst provides full time financial and budgetary support to the Executive Director of Facilities Management and Facilities Department staff. This position will work closely with university departments such as financial operations, and IT. Working with many different software packages, the analyst will forecast capital and operational expenditures, and generate various reports as requested. This position assists the Executive Director in long term capital planning and manages the deferred maintenance and capital renewal programs.
Additional Description of Duties:
The Facilities Budget and Financial Analyst is expected to learn to use the following software packages.
Banner (student information system): Interpret and disseminate financial reports for facilities managers, process vendor invoices and input budgets. Responsible for purchase requisition managing and tracking, this includes updates to purchase order tracking sheets for all facilities departments. Completes various tasks within Banner such as entering new vendors and researching invoices. Also this person develops and works with all report structures, such as purchase orders, accounting summaries and invoice statuses.
INFOR (asset management software): INFOR is a focal component in supporting the financial responsibilities of the department. Process data regarding work orders, purchase orders and receiving of goods and services in INFOR. Perform daily checks of purchase orders to ensure invoices are sent to Accounts Payable. Verify that invoices are properly input into the system, and track, file and reconcile all department invoices. Process the monthly feed from INFOR to Banner. Supply appropriate monthly reconciling reports to facilities managers. Provide support to managers on their operating and project budgets.
ImageNow (Software used to organize documents in a database): Review all invoices on ImageNow, check for proper accounting, and forward to the appropriate manager for processing. Cross reference invoices with Infor and make sure that the correct INFOR work order is referenced in ImageNow.The Facilities Budget and Financial Analyst is expected to learn to use the following software packages.
An Undergraduate degree in business, accounting, finance or similar is required. 5-7 years' experience in an office setting with financial experience. Experience writing IBM Cognos, Oracle PLSQL is required. Must be proficient in all aspect of Microsoft Office Suite including Word, Power point, Excel, Access, Visio and Outlook. Must be able to create graphs and trend data. Excellent organizational and communication skills are essential. Must be experienced in working with operating budgets. Must be able to effectively interact with a wide variety of internal and external constituencies.
Must be able to work in a fast paced environment with competing demands. Must be able to work with financial reports and possess the ability to interpret the data and forecast accordingly. Must hold and maintain a valid, unrestricted United States driver's license, with an insurable
Driving history as determined by Bentley's insurance carrier.
