Detailed Job Description

The Work Order Control Assistant assists in the day to day operation of the Work Order Center in the Facilities Management department. Specific duties include processing work orders in Bentley's asset management software, time reporting, purchase orders, invoices and processing slips. The Work Order Control Assistant answers phones, dispatches calls over the radio, performs data entry, and facilitates training of new staff on system usage. This position serves as the front-line liaison between Facilities and the Bentley community and provides customer service to all constituencies.  

Additional Description of Duties:

Daily work order data entry in INFOR including: entering, reviewing, approving, assigning, scheduling, documenting workers' comments, and printing out work orders; entering purchase orders and invoices; and supporting managers in entering labor cards. Running reports using INFOR is also necessary.

Issue room combinations, contractor keys and access cards and maintains security key distribution.  

Position Qualifications

High school degree plus 1-3 years' experience working in a fast-paced customer service environment; Bachelor's degree preferred. Strong communication and organization skills are required. Strong planning and problem solving skills are necessary to the success of this position.

Proficiency in Microsoft Word and Excel and ability to type quickly and accurately. Must hold and maintain a valid, unrestricted United States driver's license, with an insurable driving history as determined by Bentley's insurance carrier.

May be required to lift materials in excess of fifty pounds on an occasional basis.
