Serves as a member of the leadership team in the Office of the University Registrar. Directly responsible for daily oversight, problem resolution, and enhancement of all processes within the Office of the University Registrar relating to graduation and degree audit. Responsible for database (Banner and degree audit) applications pertaining to student and curricular records, including development of test plans and directing testing for system upgrades. This professional registrar position is responsible for ensuring the accuracy and integrity of student, advisor, curriculum and degree records.
Directs workflow and assigns tasks to Office of the University Registrar support staff.
Provides guidance to departments/programs/divisions and collaborates to develop and update graduate degree audits. Encodes all graduate level program degree audits for all campuses.
Reviews graduate level degree candidates for degree clearance; communicates directly with departments/programs divisions to resolve where failure to clear the degree is found.
Collaborates with other managers on end-of-term processing to create the timeline for awarding degrees for all campuses.
Manages processing of graduate level certificates leading to the awarding of master's and doctoral level degree awards.
Directs processing of Results of Comprehensive Examination for doctoral students.
Serve as liaison to the Graduate School regarding exceptions to degree programs, degree posting, and major changes to ensure compliance.
Directs all aspects of diploma procurement and release/mailing, including re-issuance.
Coordinate and maintain the degree clearance and Commencement calendars including deciding the internal office timelines for processing across the University.
Directs reporting (ceremony attendance numbers, trouble degree audits to academic divisions) and communication (warning/delete letters, hold notifications) processes pertaining to Commencement, including Commencement program generation and proofing.
Creates reports and analyzes data for President’s Office, academic divisions/departments and Liberal Education on all campuses for Commencement, student record changes and degree awarding information.
Develop and maintain Commencement web page, including continuous systematic review and evaluation for accuracy and effectiveness, revising the Commencement web page to improve accuracy/effectiveness of student communications; direct chat with University Registrar staff and Facebook.
Direct and organize University Registrar presence at GradFest and University Commencement meetings.
Provide primary support at Commencement ceremonies to faculty, administrators, students and families.
Manage the on-line graduation application and associated processes, including troubleshooting and resolving issues and non-compliance with policies/procedures.
Reviews and clears thematic sequence requirements through MPP comments and other means.
Oversee, troubleshoot, and resolve issues in Change of Program Staff Application. Provide staff training to department/division personnel using the Change of Program Staff Application.
Oversee, troubleshoot, and resolve issues with the Advisor Assignment Application
Works with CSI team to:
Assist with maintenance of curricular tables inside Banner database.
Assist with maintenance of u.direct
Provide customer service via email, phones, and in person for the University Registrar’s Office in general, and phone support for the One Stop during peak periods.
Bachelor's degree plus two years of experience, or equivalent combination of education and experience, with increasing responsibilities. Must possess strong analytical, problem-solving, and communication skills congruent with collaborative management style. Experience in a Registrar’s Office or academic division/departmental office including functions and practices. Experience working within a team environment. Experience with staff training and supervision. Any equivalent combination of education and/or experience providing the knowledge/skills/abilities listed above may be substituted.
Knowledge of Student Information Systems, Microsoft Office (especially Excel and Microsoft Word), University policies, federal and state regulations, data analysis, effective communication, both written and verbal. Knowledge of Ellucian Banner SIS, and CollegeSource suite of products strongly preferred.
