The Administrative Assistant’s primary function is to provide the highest level of administrative support for the University Registrar and the Office of the University Registrar. The position helps coordinate multiple University-wide responsibilities for the Office.
Assist in maintaining the highest level of institutional integrity for the critical Office of the University Registrar responsibility of maintaining the academic record of all past, present, and future Miami students.
Maintain the highest degree of privacy and confidentiality for the Office and specifically the University Registrar given the sensitive nature of academic and personal information.
Performs general office administration duties, prepares key office documents, and provides direct administrative support to the University Registrar within the Division of Enrollment Management & Student Success initiatives of the University.
Coordinates the meeting request and schedule of meetings for the University Registrar and the Registrar’s office including office management meetings, general office meetings, and key project reviews. Assists with maintaining meeting minutes and files.
Coordinates and implements the business process for travel within the Office. Assists with budget comparisons from year to year regarding travel expenses. Work with the Management staff on travel accommodations and schedule preferences.
Handles all purchasing for the office as well as account reconciliations, in conjunction with EMSS administrative staff.
Maintains all office organizational charts, contact information, position descriptions, and personnel files.
Coordinates and maintains the official Miami University Academic Calendar including the detail and summary of the annual and multiple-year calendars.
Coordinates end of term processing with the Assistant Registrar. Processes letters for students that have been academically suspended or dismissed.
Supports the classroom scheduling team by scheduling events in 25 Live and academic/classroom space in Banner.
Supports the Residency Officer by coordinating all applications for Ohio Residency in preparation for review by the Residency Officer, preparing residency decision letters, imaging and storing completed residency applications. In the Residency Officer’s absence, monitors the residency email account and communicates with students and families regarding residency requirements.
Supports the Veterans Certification Officer (VCO) with submission and certification of enrollment data through VA Once. In VCO’s absence monitors Veterans email account and communicates with veteran/active military/benefit-eligible dependent students.
Serves as a member of the Classified Team and supports the University Registrar’s Office and the One Stop for Student Success on phones.
Other duties as may be assigned.
Twelve months of coursework or training beyond high school and two years of related work experience or an equivalent combination of education and experience.
Command of Microsoft Office Suite products, excellent oral and written communication skills, and ability to manage and maintain strict confidentiality. Ability to handle multiple tasks effectively using strong communication skills, excellent customer services, and mastery of details.
Familiarity with Banner administrative software strongly preferred. Knowledge of the operations of an enrollment services office, as well as knowledge of related state/federal laws such as FERPA strongly preferred.
