A private, highly selective, residential college devoted to undergraduate study in the liberal arts, Bates is recognized for its challenging academics, inclusive social character and progressive tradition. The Office of Admission is looking for an Alumni in Admission Coordinator and Admission Events Specialist. This professional staff position will join an enthusiastic team who support the College’s efforts to recruit, select and enroll a highly talented and diverse cohort of students. The Alumni in Admission (AIA) program is the alumni volunteer arm of the Office of Admission. Bates alumni volunteers are charged with leading efforts to recruit and interview candidates in their geographic home/work regions. This position is responsible for the daily management of AIA, chiefly all coordination surrounding alumni interviews and college fairs represented by Bates alumni. In addition, the Office of Admission hosts several on and off campus events annually to engage prospective students and their families. The position is also responsible for many logistics related to these events, i.e. the details to make the event happen after the initial planning stages. Lastly, the position also provides as needed support for the Operations Team, especially during peak periods of data entry and application processing.


A. Alumni in Admission (AIA) Coordinator (1) responsible for maintenance of volunteer information for the Alumni in Admission program, (2) coordinates alumni interview assignments and involvement, (3) coordinates alumni staffing of college fairs, (4) manages databases to keep track of interviewing and college fair attendance.
B. Admission Events Specialist (1) works with fellow admission staff to execute on and off campus admission events, (2) liaises with Manager of Conferences & Events on logistics for events, (3) support event preparation such as communications about event, setup and day-of staffing.
C. Operations Team and Admission Office Support (1) use Banner and Hyperion databases, (2) provide special assistance to the Admission Senior Leadership, (3) represent Bates in the most positive manner with all customers such as alumni, prospective students, parents, College and office colleagues, (4) handle confidential information with tact and discretion, (5) maintain a “team” orientation and perform related tasks assigned by supervisor, (6) provide customer service and telephone/email support.


The successful candidate must be friendly, hard-working and organized. They must also have positive energy, a commitment to diversity, and strong communication skills for frequent correspondence via email and telephone. The candidate should also enjoy spending time communicating with alumni of Bates, high school counselors/personnel and prospective students and families.
