Financial Aid

The Financial Aid Coordinator is responsible for providing high level administrative support to the Assistant Vice President, as well as providing general office services by implementing administrative systems, procedures, and policies. This position functions as an advanced coordinator on multiple projects and plays a critical role in facilitating the successful operation of the office.

Basic Function:

•Coordinate and maintain meeting schedules, appointments, and calendars for the management team with internal and external parties; organize the logistics for all team meetings and events, including location and catering; prepare and distribute meeting agendas and documents.
•Take accurate and comprehensive meeting minutes as needed.
•Coordinate travel arrangements for Financial Aid; including the researching and booking of airfare, lodgings, rental vehicles, etc.; prepare itineraries and agendas.
•Draft, edit, and prepare internal and external correspondence; process reports, forms, and other paperwork and information as needed.
•Manage the documentation, reconciliation, preparation and submittal of expense reports for office personnel reimbursement.
•Make departmental purchases utilizing the REQ management system..
•Maintain a budget tracking spreadsheet to monitor and record department spending using accounting reports bi-weekly.
•Assist the communications team with imaging documents.
•Maintain an attendance tracking sheet to monitor and record employee attendance.
•Prepare for department new hires by obtaining appropriate access to databases and programs, ensuring that all required equipment is set up properly (e.g. phone, email, computer), and provide new hires with pertinent office policies, tools, and general information.
•Contribute to the overall success of the Financial Aid Office by performing all other duties as assigned by the management team.

Required Education/Experience/Skills:

•Strong communication, organizational, and critical thinking skills.
•Ability to demonstrate attention to detail with the capacity to complete various tasks in a timely manner under minimal supervision.
•Self-motivated and able to work effectively alone and with the team.
•Demonstrate honesty and integrity; ability to handle confidential matters with a high degree of tact and diplomacy is necessary.
•Proficiency in most Microsoft Office applications, including Outlook, Word, Excel and Power Point.
•Ability to react and adjust quickly to changing conditions.

Minimum Qualifications:

•Associates Degree from a regionally accredited institution

•Minimum of five years work experience in a high level support role.

Preferred Qualifications:

•A Bachelor’s Degree and experience in financial aid is preferred.

•Administrative experience, higher education administration experience and experience with non-traditional students preferred.
