Detailed Job Description

This position exists to manage student data to ensure data integrity and data access specifically for academic records. This position administers the course grade reporting process including pass/fail grade option and last grade stands at MSU Denver and host institutions; provides alternative solutions or resolution to students, faculty, and staff for registration and grade problems; administers official transcripts and education records to distribute to students, colleges and universities, and other third party constituents; quantitatively tracks record requests, both written and submitted online; and, resolves issues related to discrepancies with student academic records.  
45% - Academic Record Requests and Modifications: Processes daily written and electronic "batch run" transcript requests. Reviews each request and ensures compliance according to FERPA guidelines and MSU Denver policy (including checking for "confidentiality hold"). If additional information is needed, contacts requestor. Inconsistent data exchanges between software systems render some academic records incomplete or inaccurate; thus, this position reviews each requested transcript and academic record for accuracy. Corrects discrepancies in the academic record (e.g., calculates and replaces missing transfer credits, etc.) prior to mailing. Also, maintains a tracking system for written and incomplete requests.
Sets the parameters for and runs reports to catch system errors and to generate data used in annual reports and strategic plans. Tests student information system for appropriate functionality during each annual upgrade

20% - Grade Reporting, Changes, and Exceptions: Executes the grade reporting process for all MSU Denver and host institution courses. Advises faculty on the electronic grade reporting process, and troubleshoots when necessary. Enters grade changes in the Banner Student Information System. Maintains MSU Denver's grade change log, and monitors entries to confirm faculty identities thus ensuring the legitimacy of requested changes. Reviews Pass/Fail applications for adherence to grade policies, and approves or denies accordingly. Processes Pass/Fail approvals in Banner; meanwhile, justifies rationale for denials to respective students. Queries Banner for missing grades. Collaborates with the academic departments to ensure all grades are submitted in a timely manner. Collaborates with UC Denver and the Community College of Denver to exchange grades for all pooled and inter-institutional courses. Collects and processes final grades and grade changes from UCD and CCD.

Sets the parameters for and runs reports to catch system errors and to generate data used in annual reports and strategic plans. Tests the Banner System during upgrades and/or for any system add-on to ensure appropriate functionality.  

Required Qualifications

Bachelor's degree or the equivalent combination of education and experience, and a minimum of 1 year experience working in a high volume work environment.  

Preferred Qualifications

Prior experience working in higher education and working with the Banner system. Excellent oral and written skills. Ability to solve problems creatively.
Ability to multi-task and work with frequent interruptions. Willingness to participate as a team member. Demonstrated customer service skills. Experience working with diverse populations. Demonstrated advanced computer skills to include Microsoft Office Suite.
