Detailed Job Description
The Visitor Center Coordinator organizes the Visitor Center to ensure all prospective families and other targeted campus visitors have the best possible visit experience so that they decide to apply and ultimately enroll at Bentley.
This person works with visitors before, during and after their visit. This person oversees the appointment schedule, monitors the availability of visit opportunities and coordinates those working in the Visitor Center to ensure a smooth operation and best possible experience of all visitors.
This position works closely with the Visitor Center Manager to exceed the expectations by providing quality customer service to all our visitors.
Additional Description of Duties:
Collaborate with the Director of Admission and Senior Assistant Director to continually identify areas to enhance a high quality visit experience. Actively participate in the development and implementation stages of new enhancements.
Participate in hiring, training and evaluating approximately 15 student workers during the school year and summer to provide adequate office coverage. Implement schedules for office coverage depending on office-wide priorities.
Evaluate and improve training for all student employees and develop/maintain an UGA Student Training Manual. Participate in year-round training and supervise various student workers who assist in the Visitor Center. Train student workers on scheduling procedures and handling special situations.
Plan the daily schedule for coverage in the Visitor Center including Saturday and holiday staffing. Notify appropriate campus offices of Saturday and atypical openings (Campus Police, Facilities, etc.).
Oversee scheduling of appointments for interviews, tours and special programs for prospective students, families and guidance/college counselors who call, email or request appointments in person. Open additional slots using Visit Appointment Software to accommodate more visitors provided resources are in alignment. Maintain accurate information in Visit Appointment software.
Confirm all weekly and Saturday visits for tours, interviews and information sessions. Prepare for those visitors by retrieving visitor information from Banner to ensure appropriate information is gathered for each day's appointments and provided to the appropriate counselor/Officer of the Day.
Assist in event execution for recruitment and yield events both on campus as well as off-site to ensure these events meet high standards and impress attendees. This would include Open Houses, yield receptions and other events.
Ensure the Visitor Center physically prepared to welcome visitors appropriately.
An Associate's degree with a minimum of two years customer service experience in a fast paced environment or equivalent combination of education and experience.
Belief in the value of a higher education and the capacity to articulate those benefits to the public in a manner that supports the admissions goals of the university.
Excellent interpersonal, organizational and communication skills and ability to manage stress.
Ability to prioritize a must, given all that is happening on a scheduled basis as well as the many unexpected occurrences that can arise in a given day. Computer competency. Some experience with an online appointment software and Banner is a plus.
License(s) Required for the Position
Must hold and maintain a valid, unrestricted United States driver's license, with an insurable driving history as determined by Bentley's insurance carrier.
