This position performs a variety of administrative and clerical tasks related to the oversight of the daily operations of a University administrative unit.
Provides immediate administrative support to a director and senior director, as well as assists with the support of the communications, events and advancement services areas of the division.
Responsible for various financial and budgetary tasks, including preparing, reconciling and monitoring budgets and preparing fiscal reports based on the Monthly Financial Report generated by General Accounting. Prepare and deliver quarterly budget forecasts, and with input from director and analysis of prior year expenditures, develops the budget for next fiscal year.
Assists with customer service and communication to alumni and donors.
Uses Banner PROD, Banner Event Management, and BannerWeb to document communication and to update demographic information from alumni.
Responsible for transactions in Buyway, the university's contract and purchasing system.
Responsible for transactions in CashNet, including the handling and processing of cash, checks and credit card transactions.
With direction from the Coordinator, works to coordinate and fulfill mailings, to supervise student employees, and to provide customer service related to print orders.
Makes travel arrangements and manages travel documentation for multiple staff, including expense reports and monthly credit card reconciliation.
Serves as building point of contact for Advancement Services Building, investigating and solving problems related to building as well as conveying key information to employees within the building.
Orders and maintains office supply inventory for Advancement Services Building.
Serves as front reception for Advancement Services Building. Greets guests, organizes and distributes incoming mail and other items.
Provides phone support as needed relating to alumni and donor customer service and support.
May prepare various written materials including correspondence, information sheets and procedures.
Other administrative duties as assigned.
Requires six months of coursework or training beyond high school in business administration and three (3) years office experience, or an equivalent combination of education and experience.
Must be a self-starter who is able to follow complex directions and take initiative to complete tasks. Excellent written and oral communications skills. Proven superior customer service. Organized, detail-oriented and able to deal with multiple project and deadlines. Excellent use of Microsoft Office, especially Word and Excel. Periodic assignments given which entail dealing with modestly unpleasant physical situations such as near continuous use of computer.
Bachelor's degree. Experience using Banner PROD. Experience with Buyway and/or CashNet systems. Previous budgeting experience.
