Program Planning: Work with the Senior AD to plan/schedule semester programming. Assist with proofing of the fall and spring program calendars. Correspond with Shriver Center to request rooms and provide room set-up arrangements for all Career Services programs held there. Add events to internal programming calendar in Google.
Create and maintain updated campus key contact list for mailing of Career Services programming materials. Key contacts include deans, department chairs, advisors, special program advisors, student organization presidents, fraternity and sorority presidents, and residence hall advisors. Communicate with divisional contacts twice annually to request updated contact information. Provide a copy of the updated list to the Marketing Coordinator for his use in mass e-mailings. Work with Senior AD to mail program flyers at the beginning of each semester.
Management of Interview Center: Maintain supply and place orders for coffee, soda and snacks for recruiter hospitality. Prepare weekly orders to Carillon Catering and pickup cookies from Shriver during recruiting season. Prepare and send hosting documents for each order and provide receipts to the Administrative Associate. Keep refrigerators filled and clean coffee brewer as needed. Request supply of handouts, brochures and campus maps for employer review in the interview center. Update Information for Employers instruction sheet annually or as needed.
Student Employment: Post positions for student employment via Hire Touch. Responsible for interviewing, hiring, performance reviews and discipline for Career Services student aides. Assist other staff members with the process of hiring Career Assistants, Mock Interviewers and Interns. Keep track of monthly student employment expenditures and prepare annual report. Maintain applicant and contact records for all student employees. Approve bi-weekly student payroll using KRONOS. Prepare semester schedules for student employees. Monitor KRONOS to assure accurate reporting. Process KRONOS edits requested by the student employees and maintain record of these edits for the required term noted in the records retention policy.
Senior Mailing: Organize materials for summer mailing to rising seniors. Order letterhead and envelopes. Work with Senior AD and Marketing Coordinator to determine contents of mailing. Run WebFocus report to determine recipients. Organize materials and contact United Mail for scheduling and processing of the mailing.
Office Equipment: Assist Marketing Coordinator/TSR with office equipment including PC's, laptops, iPads, copy machines, printers and specialty electronics. Maintain supply of toner for printers and copiers. Troubleshoot printer and copier problems. Submit service requests electronically as needed. Become familiar with projection equipment in multipurpose room. Work with Administrative Associate for purchase and documentation of equipment. Maintain inventory and arrange for disposal of outdated items.
Provide backup support for front desk as needed. Relieve Client Service Specialist during lunch and breaks when student help is not available.
Building Services: Function as building point of contact for Physical Facilities. Maintain Career Services physical space. Submit TMA Help Desk tickets for needed repairs. Check upholstered chairs for tears and make arrangements for repairs. Correspond with building service workers for special cleaning needs as needed.
Utilize proficient knowledge of MS Office Suite of software.
Perform other projects and duties as assigned.
Requires nine months of coursework or training beyond high school in Business Administration and two years of related experience, or an equivalent combination of education and experience.
Effective interpersonal skills, including verbal and written communications.
Ability to multi-task and work in a team environment.
