Summary of Duties and Responsibilities

The Department of Biomedical Sciences (BMS) in the College of Veterinary Medicine (CVM) at Iowa State University is seeking qualified applicants for an Administrative Specialist II. The position assists the Chair of the Department of Biomedical Sciences (BMS) with daily administrative functions, and performs professional level duties in support of administrative, academic, and research departments. The position will supervise the management of an annual departmental budget, supervise the maintenance of the state and federal budgets (teaching and research), totaling approximately 16 million dollars. Additionally, the Administrative Specialist administers decisions regarding policies and procedures and will manage principles as they pertain to personnel, procurement, supervision, and accounting/budgetary controls. The position will serve as liaison between Chair, faculty, staff and other administrative units and will not only supervise the effectiveness and productivity of the departmental office staff, but also supervises, assists in hiring, training and evaluating office personnel. Most importantly, the position provides departmental tenure-track faculty (25), non-tenure track faculty (5), P&S and merit staff (15), postdoctoral research associates (12), graduate students (42), non-thesis graduate students (30), joint/courtesy faculty appointments (13) and collaborators (12) of various ranks, disciplines, and diverse personalities with efficient and prompt assistance for their teaching and research performance. The successful candidate will possess excellent oral and written communication; decision-making skills; excellent computer skills; the ability to skillfully manage multiple deadlines; and the ability to work with a diverse group of individuals. The ability to use independent judgment, reasoning and discretion in confidential matters are necessary to be successful in the position.

Required Education and Experience

Bachelor’s degree and 1 year of related experience; OR a combination of related education and/or experience totaling 5 years. Experience must be at a comparable level and directly related to the duties of this position.

Preferred Education and Experience

Bachelors degree in Accounting, Business, Management or related field or Master’s degree in related field.

Supervisory experience.

Experience which demonstrates knowledge of Iowa State University administrative policies, such as, human resource functions.

Additional years of administrative support experience.

Budget experience.

Experience with Microsoft products such as Word, Excel, PowerPoint, Access, and Outlook.

Experience with hiring international faculty or staff.
