The University of La Verne, Campus Accelerated Program for Adults (CAPA) located at the La Verne campus has a half time position available for an Administrative Assistant I. The successful candidate will provide administrative support to the business and operational functions of the CAPA and weekend college program. The position is under the direction of the Executive Director of CAPA.
The duties of the position include three key areas: 1) Weekend College Coordinator – Monitor all CAPA classes in Blackboard, confirm and order textbooks for faculty, provide assistance, copying, locked classrooms, room reservation conflicts, smart equipment, deliver faculty/student handouts, ect. Help resolve all emergency situations that arise during Weekend College class sessions. Complete activity report and submit to Executive Director after each class weekend. 2) Student Services – Handle incoming phone calls, and provide public with information relative to the services and activities of the CAPA office. Represent the office to potential students in a professional and competent manner. Ability to maintain pleasant and service oriented relations with students, faculty and staff. Work at monthly Information Session and prepare advisor calendars and program handouts for each session. 3) Management Information Systems – Serve student base of 980 students. Process registrations, add, drops, direct/independent studies, collect application fees and assist students with web registration. 4) Misc. Provide the required support to Executive Director, Advising team and faculty (FT and PT) teaching for CAPA. The ability to work as an effective team member and to develop effective trusting relationships with students and employees is critical to success in this position.
This position requires a high school diploma or equivalent, plus a minimum of three years of increasingly responsible clerical experience, or an equivalent combination of post secondary education and experience. Additional requirements include excellent organizational, oral and written communication skills and the ability to coordinate multiple assignments with attention to detail. The successful candidate will have the ability to multitask with frequent interruptions and changing priorities.
