Reporting to both the Chief Financial Officer and the Executive Dean of the Global Campus, the Executive Administrative Assistant provides daily operational and administrative support.  This individual will rely on excellent organizational skills and the ability to effectively handle multiple priorities.  These functions will require confidentiality, initiative, and sound decision-making.  Additionally, this position will exercise independent judgment, escalating serious or unique problems to higher levels.

Primary Responsibilities:  

  • Serves as the first point of contact with internal and external stakeholders for the CFO and the Executive Dean.  Exercises professionalism, discretion, and good judgment at all times
  • Manages calendar and travel schedule
  • Prioritizes and responds to emails 
  • Drafts correspondence, reports, and presentations
  • Responds to and screens phone calls using discretion and initiative
  • Ensures hospitality for outside guests in meetings, appointments, and accommodations
  • Organizes and maintains paper and electronic files
  • Interacts with department personnel and executive staff
  • Performs special projects of a highly confidential and highly skilled nature
  • Conducts research and disseminates information to internal and external parties 
  • Sorts, prioritizes, organizes and distributes mail
  • Some analytical duties as required
  • Performs other duties as assigned
   Secondary Responsibilities:  
  • Support other direct reports of CFO and Executive Dean as time allows
  • On occasion, covers front desk during receptionist’s absences for a few hours at a time


  • Bachelor’s Degree required
  • Five years of successful administrative experience providing support to executive management
  • Intermediate level computer skills, must be proficient with Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Excellent time management and organization skills.  Ability to prioritize and take initiative to accommodate work flow
  • Ability to work with high energy in a fast paced environment
  • Ability to work independently and as a member of a team
  • Excellent interpersonal skills required, with the ability to interact with all customer groups – staff, faculty, visitors, Board of Trustee members, and the community at large
  • Excellent verbal and written communications skills
  • Must be able to meet deadlines and handle multiple priorities
  • Flexible and cooperative in working on teams with attention to detail
  • Accurate typing and data entry skills

 Preferred Qualifications:

  • Experience in a higher education setting
