Detailed Job Description
The Administrative Assistant for the Center of International Students and Scholars (CISS) provides administrative support to the Director and to the CISS Department. This position reports to the Director. This is a front-line position which oversees the front office of the department and performs tasks such as greeting visitors and answering basic questions from students, verifying documentation, and performing other basic functions of the CISS operation. This position requires normal daily work hours with occasional evening or weekend hours, particularly during orientations.
Additional Description of Duties:
Provide administrative support for immigration services including, but not limited to: reviewing admission documents to issue immigration forms and other documentation for accepted students; disseminating basic immigration information to students, staff, faculty and parents; maintaining accurate, confidential student/scholar/staff files, records and reports for all non-U.S. citizens on the Bentley university campus.
Act as liaison with campus offices to process immigration and support document requests.
Acting as liaison with Student Employment to provide accurate information and support documentation regarding hiring international students for on-campus employment.
Assist students with applications to Social Security Administration and Registry of Motor Vehicles to provide accurate instruction and support documentation regarding the processes for non-U.S. citizens to obtain Social Security numbers and driver's licenses.
Provide office manager duties including but not limited to: supervising student employees, including hiring, goal setting, training, assigning tasks and daily oversight; monitoring time sheets for all CISS employees.
Assist maintenance of departmental budget; and maintenance of account information for Purchasing cards.
Confirm immigration status and provide basic immigration information to the entire Bentley university community.
Provide general administrative and program support to the Director and the department, including, but not limited to: answering phone inquiries and routing phone calls; taking messages, greeting visitors, data entry, typing, filing, photocopying, ordering and maintaining office supplies, function planning and coordinating office mailings and expenses.
Support program and event management with logistics and coordination, such as event registration and venue/catering.
Minimum of an Associate's Degree, plus a minimum of two years of relatable work experience.
Excellent oral and written communication skills. Excellent service orientation and ability to help cultivate welcoming and friendly atmosphere in the office for international students and scholars.
Attention to details, strong computer skills, and the ability to work sensitively with a diverse clientele.
Ability to multi-task in a fast-paced environment.
A fast learner.
Strong team player, with willingness to take the initiative to help Director and others.
Understanding of management principles associated with successfully supervising student workers.
Experience with maintaining budget.
Experience with basic project and/or event management.
Ability to learn and understand the basic functions associated with the immigration process, and the systems used in the daily operation of the office (e.g., SEVIS).
