Detailed Job Description

The Events Coordinator directs the planning, implementation, execution, follow-up and budget of events occurring both on and off campus. This position is demanding and vital to the overall image of the assigned area in terms of attracting financial resources, quality students, corporate participation, and external support. Duties may include: conceptualization of event theme; creation of invitation lists; site selection; seating arrangements; inventory management; negotiating with florist, caterers, hotel sales directors and print shops for maximum cost containment; management of on-site contract staff, clerical support and student assistants; development and management of event budget.

Additional Department Summary:

This coordinator will direct the planning, implementation, execution, follow-up and budgeting of Honors College events on- and off-campus associated with alumni, development and Board of Visitors-related activities. The coordinator will support events hosted by the Honors College personnel associated with development, alumni, and organizational development activities as well as major events sponsored by the Dean's office. Responsibilities include the planning and execution of board meetings, and the maintenance of accurate records of board membership, dues, and correspondence. In addition, this position is responsible for maintaining accurate records for scholarship acquisition and disbursement, donor gift acquisition, disbursement, and correspondence, and alumni tracking, event management and correspondence. This position is vital to the overall image of the Honors College associated with visiting scholars, distinguished lecturers, donors, alumni, prospective and enrolled students, parents and guests of the Honors College. The coordinator will manage all aspects of events including: venue selection, catering, invitations, florists, decorations, hotel, transportation, RSVP's, staffing, budgeting, correspondence, and maintaining complete and accurate records. The position requires professionalism, organization, creativity, attention to detail, flexibility and the ability to work well with others. The coordinator will design events that uphold the image of the College and Dean's Office. Work will require occasional weekends, evenings and travel.

Required Minimum Qualifications

Bachelor's degree with a preference for any degree that would support event management, such as public relations, communications, advertising, business, or marketing and at least two (2) years of experience in events to include planning, directing, budgeting and promotion; OR an associate's degree and at least four (4) years of experience in events to include planning, directing, budgeting and promotion; OR a high school diploma or GED and at least six (6) years of experience in events to include planning, directing, budgeting and promotion; OR Master's degree or higher with a preference for any degree that would support event management, such as public relations, communications, advertising, business, or marketing. Related student or Graduate Assistant, Intern, or student oriented experience will be considered. Additional Required Department Minimum Qualifications:

Valid U.S. driver's license. Must be at least 21 years of age and have an acceptable motor vehicle report as determined by the insurance carrier. 56 Monthly (exempt): - Minimum - $ 28537.56 Midpoint - $ 39956.76
