SUMMARY: This position exists to advise MSU Denver faculty, staff and students regarding degree requirements, appeals to these requirements, and the best procedures for applying requirements to students’ degree progress; to determine the optimum method to adjust the transfer evaluation and CAPP (Curriculum, Advising, and Program Planning software) systems to accurately reflect a student’s degree status; to train faculty and staff on the complexities of CAPP and interrelated degree requirements; to update student records and create electronic files utilizing honed, technical expertise; to print “late” diplomas; and, to order all paper graduation supplies for the work area. As such, this position requires a sense of logic and thorough understanding of academic policy, policy interpretation, procedures and program requirements, as well as the technical functionality of the Transfer Articulation, Registration, and Academic History modules of the Banner Student System.
50% – CAPP Adjustments:
Through interpretation and investigation, determines how best to adjust a student’s academic record to reflect changes required by system deficiencies or approved at appropriate academic levels. Analyzes and adjusts the program/area structure in the rules, tables, and detail lines of the CAPP module of Banner for individual cases. Individualized judgment is required due to the complexity of the system, the enormous variety of student academic situations, and the absolute need to precisely and accurately communicate with faculty, administration, advisors, and students.
20% – CAPP Advising and Training:
Advises department chairs, faculty, and students on making CAPP adjustments to individual student records; specifically, determines whether an adjustment can or cannot be made, advises on the effect the requested adjustment will have on the entire student record, and provides alternative avenues if an adjustment is not advisable or cannot be made. Trains department chairs, faculty, Academic Affairs, Admissions and other MSU Denver staff on the complexities of the CAPP system and its requirements, college degree requirements, data interpretation, best practices and procedures, etc.
20% – Degree Completion:
Verifies the completion of degree requirements for each student through a deliberative process called Batch. Detects inefficiencies in the student’s academic record, makes changes to coursework when necessary (e.g., adjusts transfer and repeat credits—refer to page 8 for more information), and notifies students of incomplete degree requirements. Designates commencement candidates as degree awardees upon completion of Batch. Posts degrees and honors in the student information system. Reports degree completion discrepancies to students in a timely manner. Diligent attention must be paid to the degree verification process to ensure absolute accuracy in the decision to award degrees.
5% – Board on Academic Standards Exceptions (BASE)
Advises chairs, deans, and assistant vice presidents on degree completion requirements before CAPP adjustment requests are sent to the Board on Academic Standards Exceptions Committee (BASE Committee). Serves as a regular member on the BASE Committee. Advises on academic policy, proper procedures and standards to follow for student appeal cases, and provides academic background information about the student on each case. This position guides the committee in its deliberations.
5% – Office Administration Duties
Distributes annual Authorized Signature Sheets (forms designating the appropriate academic authorities to provide signature approval for the upcoming academic year) to be signed by the appropriate departmental chairs, deans, and other authorized representatives. Maintains a tracking and archiving system for Authorized Signature Sheets. Answers all general inquiries related to graduation that is sent to the work unit’s general email address RegQuery
Bachelors degree or the equivalent combination of education and experience (one year of education is equivalent to two years of experience).
A minimum of two years of work experience in Higher Education.
Experience working with a degree audit system.
Demonstrated experience working both independently and collaboratively on a team.
Experience working with diverse populations.
Must possess written communication skills.
Experience using CAPP Model or similar model to guide adjustment decisions for degree exceptions and conferring degrees.
Experience training professional staff.
Experience using Banner.
Knowledge of degree completion academic policies and standards.
Knowledge of student appeal policies.
Experience working in a high volume multifaceted environment.
Excellent analytical skills.
Must possess excellent oral and written communication skills.
