The User Experience Center (UXC) at Bentley University is a global consulting group that provides user experience research, design, and strategy services. We offer our clients design solutions based on a unique combination of in-depth industry expertise and scientific rigor. Since its foundation in 1999, the UXC has helped hundreds of clients around the world understand their users' needs and how those needs can be met by intuitive, effective and engaging design.

The User Experience Center (UXC) is currently seeking an Executive Program Coordinator to provide marketing, program, and business development support to the UX Certificate and User Experience Center. The Executive Program Coordinator is responsible for the management and coordination of events, classes, implementation of the marketing plan involving database maintenance, business development, and email and social media campaigns, interfacing with other university departments, facilitating activities, serving corporate visitors and may supervise the day to day activities of workstudy students and/or Department Assistants.  

Additional Description of Duties:

Marketing:
Maintain the website and implement an online registration system as well as client and student databases.

Implementation of email and social media marketing outreach including LinkedIn and Twitter under the direction of the co-Managers.

Design and format e-marketing materials and brochures and other print materials as required.

Budget/Invoices:
Process invoices and maintain the physical and digital files for contracts and invoices.

Reconcile the Department budget to ensure proper billing and payments. Maintains correct credit card statements for the Manager and department.

Manages and coordinates client contacts.


Data/Information Management:
Prepares and duplicates reports, memos, brochures, schedules, expense reports, correspondence and other documents using word processing, spreadsheet, database, and presentation software including, but not limited to: SalesForce, Drupal, Office (Excel, Powerpoint, Outlook); Banner; Blackboard; ePrint.

Ability to learn and become proficient in Drupal in order to design and manage the department website and SalesForce for marketing outreach. Assists manager and/or department members in gathering information, preparing print shop requisitions, etc.

Business Development:
Leads the business development efforts for the UX certificate program. Business development efforts are focused on building the customized corporate UX training program through meeting prospective clients, writing winning proposals, and developing long-term relationships with clients.

Business development efforts also include expanding the UX offerings to clients, promoting the User Experience Center and certificate classes when appropriate and developing opportunities in new geographies.

Communication:
Communicates with various constituencies (including corporate prospects and participants, faculty, students, and other administrative departments).

Communicates with external individuals and organizations. Ability to communicate with International Universities and Corporations.

First line of contact for internal and external calls.

Research:
Performs internet research on competitive programs at other universities nationally and internationally and publications relating to Executive Education in the marketplace.

Must be able to summarize research findings in a concise format for Director's use.

Office Functions:
Prepares correspondence for external constituents.

Able to respond to inquiries regarding programs via phone and/or correspondence.

Facilitates/organizes internal and external events and other programs (ie. - conferences, career and other information sessions and related meetings).

Also responsible for the scheduling and catering portion of the planning process.  

Position Qualifications

Bachelor's Degree plus 2 - 4 years of work experience, including demonstrated experience working with marketing outreach.

Excellent interpersonal and organizational skills required.

Highly developed project management skills are essential.

The UXC is open Monday - Friday 8:30am-4:30pm and does not observe the summer hours of most other departments.
