Detailed Job Description

The Administrative Assistant is responsible for ensuring the orderly and efficient delivery of support services to the Dean of Planning, Research, and Institutional Assessment and to ensure the efficient and orderly day-to-day operations of the Dean's office. In addition, the Administrative Assistant will manage calls and requests into the PRIA office, create letters, and other correspondence and organize federal and state reports. This position will provide support in preparation of presentations and reports. The Administrative Assistant also provides daily supervision for the student workers and temporary employees assigned to the Office, including assigning tasks, monitoring workloads and ensuring completion of tasks in a timely manner.  

Required Qualifications

Associate's degree or higher required.

A minimum of five years of progressively responsible executive administrative assistant experience.

Advanced knowledge and skills using a variety of software applications of the Microsoft Office suite including Word, Excel, and PowerPoint, as well as email, internet. Experience in managing web pages is desired.

Ability to work well under pressure, in a fast paced environment, with minimal supervision while attending to details and deadlines.

Excellent oral, written and interpersonal communication skills, including the ability to compose, edit, proofread, format and punctuate correctly.

Demonstrated exceptional organization skills and the abilty to prioritize workflow.

Ability to deal professionally and effectively with students, faculty, administrators, government agencies, business/industry representatives, community organizations, and the general public.

Must possess excellent customer service skills.

Ability to anticipate needs.

Strong problem solving skills.

Ability to maintain confidentiality.  

Preferred Qualifications

Microsoft Office Specialist Certification preferred.

Demonstrated knowledge of higher education, specifically the community college environment

Demonstrated knowledge of general operations and missions of departments reporting to the Dean, as well as other areas of the college.

Demonstrated supervisory experience.
