Detailed Job Description

The Executive Assistant to the Vice President for Learning is responsible for providing administrative and secretarial support to the Vice President. In addition, the Executive Assistant manages the daily operation of the Office of the Vice President and provides supervision and direction to appropriate staff. Maintains status reports of pending items or projects.

Maintains the Vice President's calendar and arranges conferences and meetings for the Vice President and others. Prepares and distributes meeting agendas as appropriate.

Composes general administrative correspondence for the Vice President's signature, providing research and background information for the Vice President as appropriate.

Responds to visitor and telephone calls; screen calls to determine nature and purpose; refers visitors and callers to approrirate offices; provides the Vice President with background information to aid in responding appropriately.

Serves as liaison with external agencies in matters involving the Vice President's areas of responsibility. Maintains records and files and provides follow-up to resolve problems; prepares related correspondence.

Coordinates and maintains records of the meetings of the Learning Leadership Council.  

Required Qualifications

Associate's degree or higher required.

Minimum of five years of experience as an Administrative Assistant required. Supervisory experience required. Specialized secretarial training and experience in a post-secondary educational institution preferred  

Preferred Qualifications

Demonstrated handling of confidential information which requires discretion and diplomacy.

Capability to work well in a fast paced environment with minimal supervision and attention to details and deadlines.

Excellent oral, written and interpersonal communication skills, including the ability to compose, edit, proofread, format and punctuate correctly.

Advanced knowledge of a variety of software applications, such as word processing, spreadsheets, e-mail, Internet, Enterprise Resource Planning (or similar software), and other software systems and ability to type accurately at 60 wpm.

Knowledge of general operations and missions of departments reporting to the Vice President for Learning, as well as other areas of the college.

Strong organizational and project management skills and the ability to prioritize work flow.

Excellent customer service skills with the ability to deal tactfully and effectively with students, faculty, administrators, government agencies, business/industry representatives, community organizations, and the general public.
