This position provides executive-level administrative support to the Vice President for Administration and to the Associate Vice President for Administration as well as leadership and oversight of daily administrative operations. Duties and responsibilities include coordinating high-level executive meetings, managing complex calendars, executing special projects and events, public relations, and communication-related tasks essential to the success of the Administration Branch. The selected candidate must project and support a positive image of the office to the campus and the external community.

Manages the day-to-day administrative affairs of the office, which includes scheduling all appointments, conferences and speaking engagements and other commitments. Provides background information, meeting summaries and/or supporting documents. Maintains and tracks detailed priority list of projects and engagements. Maintains an efficient flow of information between all levels of the Administration Branch including internal and external contacts on a wide spectrum of plans and priorities.
Manages the financial needs of the office, maintains supplies, oversees organization of records, arranges travel, prioritizes all correspondence including email, serves as staff for various committees and task forces including agendas and minutes, seeks process improvements, manages part time, seasonal, and student employees, and performs other duties as assigned.
Duties are highly confidential and require comprehensive knowledge of the policies and operations of the organization.
The person in this position may be expected to work evenings and weekends as needed.
Individual must have a minimum of five years of combined executive-level administrative support experience.
Experience providing customer service
Experience working in a diverse environment
Research, report development and presentation development experience.
Experience working independently with minimal instructions to complete projects.
Experience working in compliance with rules of confidentiality.
Experience working collaboratively with campus and community constituents to create or implement a project, program or task.
Must be a current MSU Denver employee.
Experience working with senior level managers in a medium to large organization. Experience working in an institution of higher education. Experience with event and project management.
Must have ability to organize and coordinate travel logistics, scheduling, meetings, and multi-communication efforts.
Must have ability to effectively communicate written and verbally to inform others, promote process improvement and conduct presentations as needed.
Must have comprehensive knowledge of the policies and operation of the organization.
High degree of skill in grammar, spelling and punctuation are essential. Requires excellent computer skills. Familiarity and experience with spreadsheet software also desirable.
Strong organizational and project management skills. High attention to detail. Experience effectively exercising independent judgment. Able to follow directions with minimal instruction. Ability to manage multiple priorities and accurately determine appropriate prioritization. Excellent written and oral communication skills.
Strong proficiency in Microsoft Office products and a proclivity to leverage technology to enhance operational effectiveness.
Ability to lead, work autonomously and collaborate effectively as a part of a professional team.
Must have the ability to use a high level of discretion, and judgment.
Must possess effective communication and analytical skills, both oral and written.
Ability to work evenings and weekends as needed (position is not overtime eligible).
