Detailed Job Description

Develop and lead license procurement, contract negotiation, and vendor management standardized processes within IT Services to ensure that vendor relationships are efficient and valuable through effective contract negotiation and administration, monitoring of service performance, and vendor relationship management.


Standardize and lead organizational procurement and contract negotiation

Establish procedures/templates for determining hardware, software and other system requirements, including SaaS, cloud solutions and other strategic considerations such as accessibility

Develop and implement processes for establishing contractual agreements, including timely interface with budget, purchasing, and legal

Negotiate, develop and review contracts and SLAs in conjunction with University procurement policies and state guidelines.

Anticipate software and/or business changes that may impact licensing or contractual agreements

Analyze and recommend alternate licensing models

Maintain contract repository

Manage contract life cycles

Maintain financial records/reporting, including cost savings realized through strategic vendor management initiatives

Develop and lead vendor management program

Accountable for processes by which vendors are evaluated and selected in accordance with IT strategy and best practice

Ensure contracts are fully leveraged

Actively engage with vendors to ensure contract terms are met

Work closely with vendor contacts and internal staff to effectively escalate and resolve issues; manage risk and vendor performance.

Participate in vendor strategic discussions to ensure alignment with IT goals

Stay current with trends and best practice related to in-house vs outsourced services

Collaboratively contribute to asset management activities within the IT division

Act as subject matter expert as necessary

Develop/document/provide training as required

Represent Miami University goals/strategies with software consortiums such as the Ohio Inter-University Council (IUC)

Basic Qualifications

Bachelor's degree in related field by date of hire

4-7 years experience in technology vendor management

4-7 years experience in software licensing and technology procurement, including direct experience negotiating volume license agreements and/or enterprise agreements

General knowledge of accounting, finance, and/or marketing

Strong verbal and written communication skills

Strong organizational skills

Demonstrated ability to create and contribute to an inclusive work environment

Preferred Qualifications

Master's degree in related field by date of hire

7+ years in IT contract administration, purchasing and procurement in higher education environment

7+ years in volume license agreements, enterprise agreements and site licenses

7+ years managing multiple projects, developing budgets and securing cost savings through the creation and implementation of vendor management strategies

Experience representing institutional contract goals/strategies at state-level (or similar) consortiums

Experience interpreting legal/licensing concepts such as intellectual property rights, indemnification, and copyright law

Experience interpreting and explaining complex licensing terms and conditions verbally and in writing to a non-technical audience

Software and/or vendor management certifications such as:
Certified Software Manager certification
Advanced Software Manager certification
Certified Technology Procurement Expert
Certified Regulatory Vendor Manager Program (CRVMP)
