Responsible for a broad range of advanced clerical, secretarial, and administrative support duties for a department head or similar position.
Primary Work Location
1. High school diploma or equivalent. 2. Advanced secretarial training. 3. Progressively responsible experience involving staff assistance and advanced clerical/secretarial work. 4. Essential Job Functions
1. Supports departmental clerical activities. Performs office management functions and coordination. 2. Opens, organizes, and screens mail for supervisor. 3. Answers telephone, screens and refers calls, takes messages for supervisor. 4. Types and edits broad range of correspondence, documents, and reports under general supervision. 5. Composes and prepares responses to routine correspondence. 6. Establishes filing systems and maintains current files for the department, including files for internal and externalcorrespondence. 7. Maintains calendar and makes travel arrangements for supervisor. 8. Schedules/reserves boardrooms, prepares for meetings as directed. 9. Maintains department budget reports and related documentation. Prepares requisitions for supplies and materials. 10. Operates standard office equipment as needed to perform tasks. 11. Performs other duties as assigned.
Special Instructions to Applicants
This position will serve the UISFL grant and will be a 20 hour per week position for 48 weeks annually. It is a temporary position. The grant period runs from September 15, 2014-September 14, 2016.
