Detailed Job Description

Assist and provide administrative and logistical support to the Dean and the Division of Architecture & Design. The division consists of seven departments, ~950-1,000 students, and offers 21 undergraduate and graduate degree programs.

Oversee the day-to-day administration of a complex divisional office.

Support the planning and oversight of curricular offerings, faculty teaching loads, and faculty contracts & salaries.

Support the planning and tracking of the division's operating budgets, capital budgets, and restricted accounts.

Serve as resource in acclimating and orienting divisional faculty, staff and students to operational processes and practices.

The Senior Division Administrative Coordinator acts as a liaison between the various campus departments, faculty, staff, students, alumni, prospective students and the Division of Architecture & Design.

Maintain confidentiality on all sensitive matters. Hire, train, evaluate and supervise divisional administrative support staff.  


Bachelor's degree or equivalent combination of education and experience.

At least five to seven years administrative support experience with at least three years providing administrative support to senior management level.

Ability to interpret and prioritize request for information and follow up as needed.

Previous experience managing and maintaining electronic calendars and filtering requests for senior manager's time.

Requires aplomb and the ability to always act in best interest of Dean/College.

Excellent interpersonal, communication, and analytical skills.

Ability to manage and monitor budgets and logistical arrangements.

Knowledge and skill using PC and Mac computer software including word processing, spreadsheets, databases, and Google applications.

Ability to work in a complex and fast paced environment, to lead and guide others, and to interact with multiple diverse populations of varying needs.

Previous experience leading, guiding and/or supervising others preferred.
