This position supports the mission of the Equity Assistance Center (EAC) by coordinating support functions for all EAC staff. This is a grant funded position and is only funded through Septemeber 30, 2015. Important Note – the position may have funding into September of 2016 but this is not guaranteed. This is open to INTERNAL MSU Denver employees, i.e.: hourly, faculty, staff, and administrators are eligible. This is a full-time, benefited position, grant funded.
This position supports the mission of the EAC by coordinating support functions for all EAC staff which includes the PI, co-PI, EAC director and three full-time and two half-time equity specialists who provide high-quality technical assistance and training in addressing equity in education. This position must be able to work with diverse populations and be able to work independently. This individual will perform and organize office activities, ensuring that information is disseminated in a timely fashion, keep administrative operations running efficiently using discretion, independent judgment, and organizational ability to prioritize work assignments to completion. This person will need excellent communication and public relations abilities. Must be flexible and able to meet last minute requests as they occur. This position is also expected to utilize Metro State’s established policies and protocols wherever applicable, such as in making travel arrangements, events and meeting planning, handling billing and purchase orders, etc.
Office Management – 25% *Will serve as the EAC receptionist or supervise a student worker in this capacity. This position will be responsible for both personal and telephone contact with public school administrators, faculty and the general public; will handle phone inquiries about the program; set up appointments; and organize and update information as required for projects. * Screens and prioritizes telephone calls and mail. *Manages operations of the day-to-day functions of the office, including establishing filing system, filing and record¬keeping, office supply management, and designing systems for effective and efficient functioning of the office. *Coordinates calendars, appointments and record-keeping for EAC staff. *Coordinates and organizes special events, meetings, webinars and conferences as requested.
Communication, Correspondence and Research – 25% *Manages deadlines and timely collection of reports, forms, data and other documents. *Assists with reporting efforts, including summarizing data and tracking deadlines. *Database management. *Prepares correspondence for others’ signatures and composes, edits, types, and prints other documents as requested; grammatical editing and proofing of printed materials. *Makes copies and prepares packages for mailing/shipping. *Assists in design of promotional materials and all public relations efforts.
Billing and Document and Data Management – 25% *Processes all purchasing and billings on the College’s computer-based systems following State Fiscal Rules. * Develops and maintains tracking systems to ensure appropriate and timely collection and distribution of a variety of documents.
Scheduling and Travel Arrangements – 25% *Will make travel arrangements using Metro State’s systems and guidelines. Will initiate travel approvals and vouchers and make travel arrangements, including airline and hotel reservations, reserving rental cars, ordering state vehicles, and other arrangements as needed. Assist staff in filing travel documents and obtaining reimbursement for travel expenses.
MAGNITUDE (BUDGET): To understand and follow basic State fiscal rules as outlined by the College and the Manager for Budget and Procurement.
SUPERVISORY RESPONSIBILITIES: This position will serve as the primary supervisor and contact for work-study staff and will complete tasks delegated in this capacity as assigned.
INTERNAL/EXTERNAL CONTACTS: This position will regularly contact Department Chairs, Deans and Vice Presidents within the College in the scope of completing tasks associated with the search process and other assignments. In addition, the reception responsibilities will often require the employee to field inbound phone calls from VIPs, Trustees, members of the local news media as well as legislative and government officials. This position will require a strong ability to manage these types of contacts in a polished and professional manner.
ADDITIONAL INFORMATION: The person in this position may be asked to travel with staff to assist with conferences, meetings, and other work of the Equity Assistance Center. Other duties as assigned. Must pass background check.
Bachelors degree, or the equivalent combination of education and experience, and a minimum of three years of administrative/clerical experience.
(Equivalency is two of experience is equal to one year of education). Must be a current MSU Denver employee.
Knowledge of budgeting and familiarity with state fiscal rules, calendaring, travel arrangement and special event experience. Experience working with grants.
