Detailed Job Description

Office Management for the Vice President for Finance and Business Services.


Provides high-level administrative support by conducting research, preparing reports, handling information requests and performing other complex administrative and confidential tasks involving discretion and independent judgment related to the oversight of the daily operations of the Office of the Vice President for Finance and Business Services office.

Serves as a primary point of contact (in person, phone and email) for the Office of the Vice President. Acts as a liaison on behalf of the Vice President with a wide variety of constituents to include to students, parents, faculty and staff, government representatives and external clients.
Requires the ability to communicate effectively with board members, senior administration inside the University and to handle difficult inquiries with tact and professionalism.

Manages the day-to-day activities of the Vice President including scheduling and rearranging appointments as necessary. Arranges and confirms all details for meetings and events.

Drafts and works with the Vice President to prepare communications, correspondence, PowerPoint presentations and complex spreadsheets. Prepares presentation materials for senior level meetings. Assists with the preparation of complex reports by conducting research and analyzing statistical information.

Serves as a resource for divisional projects. Tracks progress of projects and provide updates.

Investigates and resolves problems, difficulties, and other confidential, sensitive and potentially urgent matters that require judgment and discretion.

Supervision of classified staff, assists in the enforcement of policies and procedures, reviews performance.

Coordinates and supports the Vice President's major events, travel, initiatives and responsibilities.

Assists in processing financial and budgetary tasks including the Vice President's reimbursements, fiscal reports, Mastercard reconciliation and Buyway payment processing, land rents, interdepartmental transfers, time and attendance reports, etc. Manages the division's Mastercard reconciliation process.

Basic Qualifications

Bachelor's Degree and at least three years experience in the field or an equivalent combination of education and experience. Must be proficient in Microsoft Word, Excel and PowerPoint.

Pay Range

$45,500   - $58,100
