Detailed Job Description
The executive assistant is responsible for coordinating and supporting the major initiatives and responsibilities of the Office of the Provost, including accreditation with the Higher Learning Commission, administrative searches, University Senate, policy manual and student handbook, communications, tenure and promotion, and university committees and events.
Coordinates the Office of Provost communications, including listservs, websites, emails, and e-newsletters;
Assists with the promotion & tenure and probationary review processes;
In collaboration with the University Secretary, coordinates the work of the University Senate, including ensuring appropriate protocols are followed, including fair elections and the timely evaluation of university-level administrators, etc.;
Assists with the updating and revision of the Student Handbook and the Miami University Policy & Information Manual (MUPIM) annually as well as the IUC manual, and ensures that the Ohio Administrative Code is updated;
Coordinates the database management for the office, creates reports and engages in data analysis;
Coordinates searches for academic deans and other university-level directors;
Coordinates major events, committee work, and activities of the Office of the Provost, including new faculty orientation, Academic Administrators' meetings, meetings of the Council of Academic Deans, etc.;
Ensures that the University complies with all initiatives and regulations of the Ohio Board of Regents and the Board of Trustees;
Assists with the coordination of data gathering for accreditation and other University-level initiatives, and engages in creating reports and data analysis;
Supervises the other administrative support staff in the Office of the Provost;
Other duties as assigned.

Experience in academic affairs in higher education;
Familiarity with Miami information systems, e.g., Banner, Sakai, Chalk and Wire, Qualtrics, Google apps for education; Experience and evidence of designing and maintaining websites;
Knowledge of programming languages such as HTML, Macromedia Dreamweaver; knowledge of Adobe Photoshop; Familiarity with Miami University organizational structure, particularly academic affairs;
Capacity to exhibit a high degree of attention to detail, tact, and decorum;
Ability to handle multiple tasks simultaneously and to prioritize a large volume of on-going tasks and projects;
Demonstrated capacity to enhance respect for diversity; Demonstrated ability to supervise staff and work well with other University departments, divisions, offices and programs.
