Detailed Job Description

COLUMBIA COLLEGE HOLLYWOOD has an immediate opening for a College Registrar.  This position oversees and directs registration activities and academic records, evaluates student transcripts, and assists in the planning and organizing of the registration calendar and course schedule, and serves as a student academic advisor.

 Successful candidate will have a proven track record managing multiple priorities, establishing a positive and productive working relationship with students, working as a cohesive member of a team, effective negotiation, mediation, and conflict resolutions skills.  Must also have familiarity with AACRAO policies and guidelines.

Work Hours

Monday-Friday 11am- 7:30pm. 

Some weekends and extended hours may be required.

 Experience & Education Required

  • A minimum of Bachelor degree required (business, psychology, or sociology preferred) although a Master is preferred
  • 5 years experience as a Registrar or Associate Registrar with extensive and progressive experience in a registration and records office
  • Extensive knowledge of CampusVue database management.

 Job duties include:


  • Oversee student registration, student attendance recording, grade recording and the overall maintenance of academic records in accordance with state and FERPA guidelines
  • Maintain and analyze annual historical enrollment trends.
  • Work with the Dean of the College and the Dean of Student Services on academic course scheduling.
  • Accurately identify and track all students on academic probation.
  • Oversee the evaluation of post-secondary transcripts for possible course transfer credits, including analyzing related course content from transferring schools and approving the appropriate credit.
  • Conduct quarterly degree audits, for students who have reached 96 units, to ensure students meet program requirements and approve graduation eligibility of students.
  • Schedule annual graduation information meetings with graduating seniors.
  • Work with senior management to achieve desired results in areas of student retention, graduation rates, and satisfactory student progress.
  • Directs preparation of statistical reports on educational activities for government and educational agencies and interprets registration policies to faculty and students.
  • Special projects as assigned.


  • Serve as Academic Advisor for students with last names A-J.
  • Work closely with students on Major selection and course selections to achieve success.
  • Responsible for understanding the direction and policies of such so to properly advise, and register students.
  • Responsible for informing students of their academic status including (but not limited to) probations and administrative withdrawals
  • Monitor student progress to advise and inform students of progress toward graduation requirements.
  • Speak to incoming students and their parents prior to matriculation to answer questions and provide information about upcoming academic schedules.
  • Work to create an atmosphere conducive to learning.
  • Communicate with new admitted students, in advance of enrollment, to establish and advising rapport as directed by Admissions and stated guidelines.
  • Special projects as assigned.
