Detailed Job Description

The Assistant to the Vice President of Academic Affairs/Vice Provost(VPAA/VP)provides direct support to the VPAA/VP and the Provost. This position functions as the primary point of contact for internal and external constituencies on all matters pertaining to the Academic Executive Team.  The Assistant to the VPAA/VP must be able to function primarily as an administrative assistant but also have the ability to work independently on projects, from conception to completion, and must be able to work under pressure to handle a broad variety of activities and confidential matters with discretion.  The Assistant to the VPAA/VP must be creative and enjoy working within a University environment that is mission-oriented, results/accountability-driven, and guided by best practice.

Essential Function and Responsibilities

 Executive Support

  • Completes a broad variety of administrative tasks for the academic executive team, including managing active calendars of appointments; screening emails and phone calls; composing and preparing confidential correspondence; and compiling documents for meetings
  • Plans, coordinates, and ensures the VPAA/VP's schedule is followed and respected; provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the Academic Executive Team’s time and offices
  • Works closely and effectively with the VPAA/VP to keep him/her well-informed of upcoming commitments and responsibilities, facilitating appropriate course of action, referral, or response
  • Assists the VPAA/VP in executing tasks related to University growth
  • Assists the VPAA/VP in activities related to cultivation of relationships, fundraising, and university promotion.
  • Researches and follows up on incoming issues and concerns addressed to the VPAA/VP and Provost, including those of a sensitive or confidential nature
  • Works with the Academic Executive Team on supporting and maintaining assessment and continuous improvement activities, such as documented within the Accountability Management System (AMS)
  • Performs research and other specific data collection, creation, and maintenance for various University projects, such as accreditation, campus relocation and other strategic initiatives
  • Provides a bridge for smooth communication between the Academic Executive Team and other internal departments; demonstrating leadership to maintain credibility, trust, and support with the Administration, Graduate Program Directors, faculty, and staff
  • Provides leadership support to build relationships crucial to the success of the University, and manages a variety of special projects, some of which may have organizational impact
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the VPAA/VP’s and Provost's ability to effectively execute duties
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
  • Performs other duties as assigned

Communications, Strategic Partnerships, and Outreach

  • Edits and completes first drafts for written communications to external stake holders
  • Performs research and other specific data collection and create and maintain databases on strategic projects and partnerships

 Required Skills and Abilities

  • Bachelor degree required
  • Two years’ experience in an academic or professional setting
  • Excellent writing skills
  • Typing 65+ words per minute
  • Strong communication skills.
  • Highly skilled with internet searching, email, and the Microsoft Office Suite
  • Excellent grammar and editing skills
  • Responsible, self-starter, extremely organized, timely, and detail oriented
  • Technically savvy, not afraid of new technology
  • Professional appearance and conduct for working in executive office
  • Understanding of the academic environment
  • Able to lift up to 30 pounds
  • Possess a driver’s license and reliable transportation
  • Ability to work longer hours as occasionally needed
