Detailed Job Description

OFFICIAL TITLE: Director, Advancement Services

SUPERVISION RECEIVED: Reports to the Executive Director of University Advancement

SUPERVISION EXERCISED: Assistant Director, student employees, volunteers.


Reporting to the Executive Director of University Advancement, the Director is responsible for providing leadership and long range and short term planning for the areas of database integrity, prospect management, reporting, data analysis and system enhancements. The Director will develop and integrate data analytics into all pertinent Advancement activities for divisional assessment and planning. The Director will work with users to define requirements for custom lists and reports, prepare ad hoc data lists, and provide materials for use in Advancement, Foundation Board and leadership meetings.  The Director will develop and maintain queries, reports and audits to monitor data quality and integrity. The Director will manage all requests for information and be responsible for conceiving and implementing new procedures, guidelines and programs as needed.


  1. Guides the implementation of strategies, analytics, research and services/functions for the OUA.
  2. Supervises and evaluates the work of staff, oversees completion of job duties, delegates work projects, provides time management guidance, training, and conducts performance reviews.
  3. Provides analysis of giving data, engagement data, to provide strategy and planning for divisional activities.
  4. Create/maintain multiple dashboards or other metric systems to measure progress toward concrete goals for the division; prepare documents and reports for use in the area.
  5. Produces or manages production of development, financial, campaign and stewardship reports.
  6. Oversees the process and policy for input and integrity of data collected for staff, faculty, friends and business and corporate relationships in the department’s database.
  7. Generates direct mail solicitation lists and phonathon files. When required, generates complex alumni lists, gift reports and labels for the Advancement staff.
  8. Manages an accurate mailing/reporting calendar and production log for Advancement projects requiring support from Advancement Services.
  9. Works with divisional staff to solicit input necessary to design surveys and questionnaires; recommends makeup and size of samples; coordinates instrument delivery and schedule; analyzes survey results and creates business value models; delivers findings in a visually appealing and meaningful way.
  10. Collects marketing and benchmarking data that support the business processes/outcomes of the University’s fundraising efforts
  11. Provides guidance, training, and support to help staff interpret, understand and apply scoring and other data analysis results in various fundraising, alumni engagement, and marketing activities.
  12. Evaluates short and long term impact of the program and report regularly on progress and contributes goals and insights to the prospect research strategic plans.
  13. Additional responsibilities include working with fundraising leaders to establish strategic plans and annual goals; training research colleagues on statistical modeling tools and techniques.
  14. Write and run queries and exports for mailings, special events, etc. and coordinate the production of labels, lists and mail merges.
  15. Establish and maintains positive relationships with all departments within the university community to assure effective and accurate information is disbursed/received
  16. Other duties and special projects as assigned.
