Provide comprehensive support to the HR Department, in administrative, customer service delivery and programatic implementation areas. Work in effective collaboration with all members in the department. Provide a warm, helpful, and receptive environment for Students, Staff and Faculty in person and/or by telephone while maintaining strict confidentiality and the College/Department values of professionalism and mutual respect.  

Provide first contact for those seeking help from the Human Resources. Ensure main telephone line is answered, offer customer service to callers; at counter, meet & greet visitors, students, staff & faculty in a warm receptive, professional manner. Refer questions to appropriate HR Representative or Director.

Gather data as requested, photocopy personnel files and other documents, and send confidential faxes. Ensure compliance logs and personnel files are up to date. 

Employment Verification and New Hire paperwork collection – I-9's, W-4's etc. Create and maintain special H1-B file folders separate from employee files and in format that complies with laws and regulations 

HR Office Systems Administration – Update and maintain all current and future systems such as GaelRecruit, Gael Perform, Compliance Training and Colleague. This includes data entry of information such as new hire data and job descriptions, referring candidates, assigning users, assisting in creating job requisitions, posting jobs, troubleshooting issues, run reports for users, apply analytical skills to report data to support identification of trends and patterns, or to support problem solving.

Ensure HR office is effectively and efficiently organized to promote an environment that is conducive to internal and external clients, visitors, candidates and guests.

Provide office assistance in consultation with the AVP or his or designees in the area of overall logistical, administrative and budget oversight for the department. Keep track of all billing and invoicing for the department. Order office supplies.

Program and Event Administration - book facilities and determine the room layout, food and beverage selection, and ensure correct dates and times are given for signage and materials. Produce a vendor contract for processing with the Business Office. Process/audit  RSVPs to events for accuracy and review RSVP list afer the event to identify "no shows"

Set HR department calendar requests for meetings of Managers and Directors as requested. Manage HR conference room usage.

Work with all levels of College Faculty and Staff, including Senior Staff, consultants and outside vendors.  Maintain strict confidentiality. Provide back up for co-workers and assist HR Exempt staff.  Support special projects when requested or required. 

Experience and Qualifications:

BA or equivalent years of experience. 2+ years of experience in an office setting preferrable in a human resources department. PHR Preferred.

Ability to manage multiple projects and respond well under pressure. 

Detail oriented and organized. Strong analytical and problem solving ability. 

Ability to thoughtfully establish priorities and work independently and as part of a team.

Proficiency in using Datatel’s Colleague and/or systems preferred and in using Microsoft Word, Microsoft Excel, Powerpoint and Microsoft Access, email and internet usage, proficiency with Salli, the College's web based intergation tool preferred.
