FULL-TIME EVENTS COORDINATOR: 37.5 hours per week. Normal work hours Monday – Friday 9 AM to 5 PM, additional hours required evenings and weekends, based on event schedules. (Non-unit Professional Position).
The Events Coordinator will be part of a two person team that is responsible for scheduling space reservations and rental requests by college staff and outside entities. Responsibilities include maintaining the master schedule of all events on the college’s scheduling software program 25 Live, familiarity with (Banner); coordinating, maintenance, public safety, food services and IT support services as needed. The individual is the subject area expert of a wide variety of topics related to the use of college space and facilities. The Events Coordinator is responsible for managing the event profit center budget; providing accurate client oversight to event staff, including scheduling their time; producing accurate client “billings”, ensuring compliance with applicable state regulations and college policies; and chairing or participation in meetings for event planning and coordination.
The individual in this position will be expected to collaborate with businesses and residents especially in the Merrimack Valley, providing exceptional customer service and, supporting our goal to be the best resource for meetings and special events.
The Events Coordinator works with Marketing Communications on developing and implementing web and marketing material which provide clear and concise information to users. Also works within the community to identify opportunities to expand external usage of college facilities. The position reports to the Vice President of Administration & Finance/CFO through the Staff Associate for Administration & Finance and may also work on special projects as assigned by the Vice President for Administration & Finance, CFO.
Associates Degree with four (4) or more years of experience in (a) events planning, (b)project management, (c) executive office administrative assistant, or (d) other group organization activity (ies) required. Strong organizational skills and exceptional attention to detail and follow up is essential: strong verbal and written communication skills; diplomacy in working with a wide variety of individuals and groups; ability to be flexible, proactive and creative in resolving problems. Must have above average Microsoft Office skills including Word, Excel and Outlook. Must be available to work occasional evenings and weekends and be able to adjust work hours to provide adequate event overage.
Bachelors Degree and two years of supervisory experience preferred.
Bilingual, bicultural candidate is preferred.
Salary: $45,000.00 - $57,000.00 annually with complete fringe benefit package. Actual salary will be commensurate with education and experience.
