TITLE:                       REGISTRAR



JOB OBJECTIVES:                                    Maintain accurate student enrollment records

SUPERVISION RECEIVED FROM:         VP Online/Associate Provost  

SUPERVISION GIVEN TO WHOM:         Registrar staff

STATUS:                                                 Exempt


EDUCATION/EXPERTISE:          Bachelor’s degree required.  Advanced degree, highly preferred

A minimum of 5 years’ experience in a Registrar’s Office

Working knowledge of the Family Educational Rights and Privacy Act (FERPA)

Computer literate, and familiar with databases

Experience working with Jenzabar, a plus


PHYSICAL REQUIREMENTS:     General office environment, ability to stand or sit up to eight (8) hours per day and lift twelve (12) pounds; has good hearing and vision; dexterity.


REQUIREMENTS/SKILLS:           Must be able to function in a supervisory capacity;

ability to evaluate transcripts; good use of English grammar, spelling and punctuation skills; computer database knowledge and computer skills; good organizational skills; excellent public relation skills; maintain a good appearance and professional attitude at all times; and ability to maintain complete confidentiality pertaining to all aspects of academic records.


The position of registrar includes but is not limited to the following responsibilities:

  • Module Manager      for Registrar’s Office.
  • Create and maintain      course schedules in computer database.
  • Maintain Faculty      Load in database.
  • Review      scheduling of classroom utilization in conjunction with the Curriculum      Coordinator.
  • Assist in the      coordination of details for student registration with the Business office      and Financial Aid office.
  • Register      students in classes and labs for Doctor of Chiropractic, Graduate, Undergraduate      and Massage School Programs.
  • Adhere to all      FERPA regulations.
  • Verify, publish      and distribute enrollment data.
  • Perform      preliminary degree audits for students near graduation.
  • Maintain student      data to produce academic transcript records.
  • Review and      verify completion of graduation requirements on all graduation candidates.
  • Determine      student’s eligibility to sit for National Board exams and assist with the processing      of student’s applications.
  • Report student’s      eligibility for the Dean’s Honor Roll, student academic awards, academic      probation and academic dismissal.
  • Signature to      certify enrollment verification forms.
  • VA Certifying      Official for students eligible for veteran benefits.
  • Prepare budget      for submission to the Associate Provost.
  • Oversee the      archiving of records which includes both scanning of data and entering      microfiche data into database system.
  • Be familiar with      all aspects of education requirements and existing standards, rules and      regulations in regard to academic policy.
  • Participate as a      Non-Voting Member for the Student Academic Advising Committee.
  • Official      custodian of the Academic seal.
  • Attend annual conferences      for collegiate registrars when indicated.
  • Train support      staff in the performance of all their job duties.
  • Knowledge of computer software necessary for the performance of all      duties.
  • Perform other functions as deemed appropriate by the VP of Online/Associate      Provost.
