The Coordinator of Gifts processing, Donor Acknowledgement and Stewardship will provide administrative support and assistance to the University Advancement department by answering and directing phone calls, assists in data entry and other duties as requested. The position also has significant responsibilities in the areas of data and gift entry to ensure that all cash gifts, stock donations, and pledges are accurately recorded in the Raiser Edge database and reconciled with the Financial Office. This position will be responsible for donor acknowledgements and stewardship programs.
Provides all aspects of administrative support for departmental operations, including but not limited to answering phone calls and providing information of the programs within the department.
Handles all duties relative to processing recording and acknowledging gifts.
Coordinates and prioritizes day-to-day gift processing activities and ensures accurate processing and
stewardship of gifts.
Supervises the accurate processing of checks, credit cards, and electronic funds transfers for
unrestricted and restricted gifts, including all Alumni Relations deposits and expenditures.
Reconciles batches with Raiser’s Edge (RE) and prepares batches for daily deposit.
Communicates with Division Manager for University Advancement to ensure accurate processing of gifts and to
ensure financial integrity and accuracy.
Communicates with Database Administrator and Finance Department to resolve technical problems or adjustments that must be made to ensure accurate processing of gifts.
Coordinates monthly employee payroll deductions with Payroll Supervisor, reconciles batch for posting.
Processes special handling of non-routine deposits.
Records donors’ pledges in RE and maintain all pledge files.
Tracks outstanding pledges and produces pledge reminder letters to donors and reports as appropriate.
Adjusts gifts and pledges as directed by the VP or Division Manager for University Advancement.
Logs prospect and donor news, communication and info into Raiser’s Edge records. Updates biographical data in RE as provided by constituent’s information on checks and/or correspondence.
Assists with database projects as needed.
Coordinates donor stewardship.
Maintains neat, clean, professional appearance as directed by University policy.
An A. S. Degree in Business Administration or equivalent; must have three (3) five to (5) years of administrative support experience.
A B.S. Degree in Business Administration or the equivalent is desired.
