The Administrator oversees the research, academic, and administrative activities of the division.


  • Assist in the coordination and preparation of grant and contract material. Assist the faculty in gathering the required documents and data needed to prepare and submit new and continuing grant applications. Assist with the electronic submission of all relevant applications
  • Supervise non-exempt and exempt staff and help them reach their maximum productivity
  • Manage human resource administration and payroll preparation at the divisional level, for submission to the department of Medicine. Assist in the hiring, training, and discipline of all non-faculty staff positions
  • Maintain an organized and orderly office that functions smoothly for Faculty and Senior Management needs
  • Prioritize and delegate assignments while leading by example. Ensure that the clerical staff is working towards the Department's goals and objectives
  • Maintain office correspondence and respond to requests in a timely manner. Bring urgent matters to the attention of the departmental senior administrator or Division Chief/Center Director, as appropriate
  • Take responsibility for active maintenance of the department's offices in the Ullmann Building. Act as the liaison with University-wide departments e.g. Engineering, Communication Services, Housekeeping, Procurement, Human Resources, etc
  • Prepare annual divisional budgets for review and submission to senior administration and the Dean. Maintain and review departmental financial records to ensure that payroll and OTPS expenditure allocations are correct
  • Prepare monthly statements for Division Chief/Center Director, senior administrator, and principal investigators to make certain that monies are spent appropriately and meet delineated guidelines and regulations
  • Work in conjunction with the University's Finance Office including but not limited to Research Finance and Budget, in regards to grant closure and reporting to funding agencies
  • Coordinate activities as appropriate with the administrator of the Division of Gastroenterology and Liver Disease at Montefiore Medical Center


  • Bachelor's Degree is required; preferably in Business/Finance
  • 2-3 years of related experience
  • Proficient in Microsoft Office Suite - Word, Excel, PowerPoint
  • Attention to detail and ability to multi-task
  • Knowledge of National Institute of Health (NIH) rules and regulations preferred
  • Knowledge of Electronic Research Administration (eRA) Commons preferred
  • Knowledge of CAYUSE and Banner a plus
