The Director of Advancement Services is an integral decision-making member of the Advancement staff, who reports directly to the Vice President for Development. The Directors primary responsibility is managing the Datatel Colleague database which includes reporting and informational retrieval, gift processing and biographical records maintenance. The Director supervises one Gift Data Specialist and one Demographic Data Specialist.
Database Administration: Serves as resident expert on CA module in Colleague. Ensures that the database is efficiently maintained and monitors the operation of the data system. Develops policy and procedures and creates documentation for all biographical data entry, gift and pledge processing. Serves as liaison with AIS staff on infrastructure and hardware issues to ensure good techical performance of the database system. Explore, recommend and implement new and emerging technologies to maintain state of the art data collection and extraction to the extent that budgets permit.
Database Analysis: Generate regular reports to reconcile to financial reports, produce error-checking reports, pledge receivable reports, weekly transaction reports. Perform adhoc report analysis as needed. Monitors progress toward annual and capital fundraising goals. Disseminates reports to Development staff and volunteer boards and committees. Iniatates and maintains Council for Aid to Education reporting structure and process. Produce selections with all necessary information for the Development and Alumni staff and others as needed for donor relations, alumni events and development solicitation mailings.
Gift Processing: Oversees all activity relating to recording, balancing and maintaining the transaction information of gifts, pledges, payments and bequests as well as receipting of gifts, reminding of pledge obligations,corrections or adjustments and write-offs. Develops policy and procedures and creates documentation for all gift and pledge data entry. Oversees the input and retrieval of all credit card transactions using outside service. Works with the Controller and Assistant Controller on gift and pledge reconcillation and reporting particularly at fiscal year end. Provides data and documentation needed for annual audit. Knowledgable of CASE, IRS and FASB regulations for accounting and reporting purposes.
