The Position:
The Director of Advancement Services is an integral decision-making member of the Advancement staff, who reports directly to the Vice President for Development.  The Directors primary responsibility is managing the Datatel Colleague database which includes reporting and informational retrieval, gift processing and biographical records maintenance.  The Director supervises one Gift Data Specialist and one Demographic Data Specialist.


Management of the Advancement Services Program:Manages the department budget.  Establishes work standards, hires, trains, supervises and evaluates staff. Manages the daily operations of the office staff responsible for biographical records management, gift processing and major donor moves management.  Designs and oversees ongoing training in database and gift administration policies and procedures.Manages project and work schedules; coordinates informational requests, schedules and prioritizes such requests for data and reports. Provides inspiration and motivation to direct reporting employees to achieve the department's goals.

Database Administration: Serves as resident expert on CA module in Colleague.  Ensures that the database is efficiently maintained and monitors the operation of the data system.  Develops policy and procedures and creates documentation for all biographical data entry, gift and pledge processing.  Serves as liaison with AIS staff on infrastructure and hardware issues to ensure good techical performance of the database system. Explore, recommend and implement new and emerging technologies to maintain state of the art data collection and extraction to the extent that budgets permit.

Database Analysis: Generate regular reports to reconcile to financial reports, produce error-checking reports, pledge receivable reports, weekly transaction reports.  Perform adhoc report analysis as needed. Monitors progress toward annual and capital fundraising goals.  Disseminates reports to Development staff and volunteer boards and committees.  Iniatates and maintains Council for Aid to Education reporting structure and process. Produce selections with all necessary information for the Development and Alumni staff and others as needed for donor relations, alumni events and development solicitation mailings.

Gift Processing: Oversees all activity relating to recording, balancing and maintaining the transaction information of gifts, pledges, payments and bequests as well as receipting of gifts, reminding of pledge obligations,corrections or adjustments and write-offs. Develops policy and procedures and creates documentation for all gift and pledge data entry. Oversees the input and retrieval of all credit card transactions using outside service.  Works with the Controller and Assistant Controller on gift and pledge reconcillation and reporting particularly at fiscal year end.  Provides data and documentation needed for annual audit. Knowledgable of CASE, IRS and FASB regulations for accounting and reporting purposes.

Experience and Qualifications:

Bachelor's Degree Required, Masters Degree Preferred

  • Demonstrated technical experience with relational databases and reporting tools.
  • 3 + years of prgressively responsible experience in advancement services (or related) with experience in a higher education setting preferred.
  • Demonstrated technical experience with relational databases and reporting tools.
  • Familiarity and understanding of IRS regulations regarding tax issues and CASE standards for reporting helpful.

  • Strong analytical, computer skills; proficiency with Microsoft Office tools, including Word, Excel and PowerPoint, email and internet usage.  Experience with Datatel datase products highly desirable. 

  • Abilty to communicate with technical staff, and non-technical staff and a demonstrated understanding of data analysis.

  • Attention to detail and strong communication skills, along with significant organizational and management skills required. 

  • Abilty to define goals and objectives and to develop and implement strategic plans to accomplish Advancement Services goals.

  • Demonstrated supervisory experience required.
