FULL-TIME ADMINISTRATIVE ASSISTANT I: (Institutional Advancement) 37.5 hours per week. As necessary, on a periodic basis the individual appointed to this position may be required to work during evening hours or attend weekend events to accommodate the requirements of the work areas such as fundraising events, etc. (AFSCME Unit Position)
This position reports directly to the Vice-President of Institutional Advancement and provides support to the Director of Annual Planning and Advancement Services and the Director of Alumni and Donor Relations.
Responsible for providing administrative support for the department which includes, but is not limited to, processing gifts and preparing donor acknowledgement letters; assisting with Raiser’s Edge database maintenance, including creating and editing alumni/ donor records and conducting address research; assisting with data entry relating to the student scholarship process; developing and maintaining assigned correspondence, promotional materials, and other documentation related to advancement efforts and activities. Performs general office duties, including answering phones, taking reservations, maintaining donor files, coordinating meetings and events; utilizes and maintains shared electronic files. Participates as a team member in meetings and activities; provides positive customer service to internal and external constituencies. Serves as back-up for advancement staff as needed. Performs other duties as assigned.
Must have two or more years of full-time experience in office management or equivalent part-time experience. An Associate’s Degree or higher in related discipline may be substituted for the required experience. This position requires an individual who is highly detail oriented who can learn and comprehend a complex database with detailed policies and procedures. Must be able to prioritize and handle multiple tasks and projects concurrently. Strong knowledge and understanding of the use of database systems required. Must be team oriented. Experience with Microsoft Word, Excel, Access, and Raiser’s Edge required. Preferred qualifications include experience with Banner database and Constant Contact.
Salary: $714.10 – $1,003.52 weekly, ($37,133.20 -$52,183.04 annually) with a complete fringe benefits package. An appointment from outside the bargaining unit (AFSCME) must start at Step#1 of the range.
