Detailed Job Description

Under the supervision of the HRIS Director, the HRIS Records Specialist supervises the day to day operations of the HR File Room. This includes but is not limited to: supervision of HR file room staff; creation and maintenance of electronic/paper employment files for all part-time and full-time employees; reporting all new hires to the Utah New Hire Registry; handling employee file record requests; performing data entry in HRIS systems; preparing and maintaining training pertaining to employee record retention and storage; providing guidance and training to HR staff concerning retrieval of employee records and record retention; preparing and delivering employee files to Utah State Archives in accordance with the Utah State Record Retention Schedules; reviewing, modifying, and developing Utah State Record Retention guidelines for UVU employee records; and serving as a final check that information is input into HRIS systems correctly and all necessary documents are present.

Minimum Qualifications

High School Diploma or GED is required.

Preferred Qualifications

Previous experience with scanning and digital filing.


Knowledge of computer applications, filing systems, office methods and techniques, etc.


Clerical and supervisory skills.

Skills in the use of computers and computer applications, including detailed data entry, document imaging, spreadsheets, and word processing.

Written and verbal communication skills.


Ability to perform a variety of clerical duties with minimal supervision.

Ability to communicate effectively and follow oral and written procedures and instructions.

Ability to pay attention to details and recognize and resolve potential issues.

Ability to bend down and stand up repeatedly with or without reasonable accommodation.

Ability to handle sensitive information in a professional and confidential manner.

Ability to explain and/or train employees on computer application and non-computer related processes.

Ability to understand and apply complex UVU, State, and Federal regulations regarding information security, record retention, etc.

Ability to direct the work of multiple part-time employees.

Pay Range

$28,512 - $35,640
