Job ID:  2826 - SATSS - FT (Hourly)

Performs a variety of clerical and administrative tasks related to supporting daily operations of department and providing information regarding department's activities to users and potential users.

Duties

  1. Assists users of department's services by providing information regarding policies and procedures; may assist patrons by aiding them in using services or filling out forms.
  2. May assist in the performance of various financial and budgetary tasks including preparing and monitoring budgets, preparing fiscal reports, or processing payments.
  3. May assist with various administrative tasks including ordering supplies, preparing requisitions, scheduling use of equipment, maintaining calendars, or conducting research.
  4. May prepare various written materials including correspondence, information sheets, or news releases.
  5. May maintain and update various files and records; may maintain department's computer databases.
  6. May assist in the performance of various clerical tasks including answering phones, typing, opening and distributing mail, or preparing bulk mailings.
  • Answer all incoming calls, direct calls to appropriate area,
  • Greet all visitors to the Dean’s office and direct them as necessary to the appropriate office.  Responsible for making sure office is open during normal hours.
  • Building point of contact, order office keys, consult with Associate Dean responsible for  building issues.
  • Assist in preparation of divisional events
  • Prepare written communication, prepare reports
  • Make building room reservations using Google calendar and 25Live
  • Meet weekly with custodial staff to address building issues.
  • Submit work orders and handle lost & found items
  • Assist with coordinating the Teach Live Lab
  • Submit grade change forms and transfer letters
  • Point of contact for office machines.

  • Other office related duties.

Minimum Qualifications

Requires six months of coursework or training beyond high school in Business Administration and three years of office experience, or an equivalent combination of education and experience.

Preferred Qualifications

Associate Degree in Business Administration or related field

Ability to handle multiple tasks and prioritize on-going tasks and projects.  Strong communication skills; excellent interpersonal, organizational, and planning skills, proven customer service skills; ability to work cooperatively with others.  Experience with Microsoft office applications.  Knowledge of standard office procedures and equipment; knowledge of computers and office applications; some knowledge of administrative procedures which may include budgeting, research, preparing fiscal and other reports; supervisory skills; research skills.
