Job Description:

GENERAL STATEMENT OF DUTIES:

The Program Assistant performs a variety of general office duties related to the GCC Development Office, Foundation, Grants and Alumni Affairs, including handling confidential fiscal information. This position also involves assisting in the organization of major events and special programs as necessary.

EXAMPLES OF DUTIES:

  • Assists with planning, coordination and implementation of administrative tasks for major events and special projects, including community events throughout the year;
  • Supervises temporary help and work study students, along with other department employees;
  • Classifies and maintains database of alumni and community supporters;
  • Maintains records and prepares letters for mail programs;
  • Coordinates the accurate and timely completion of documentation for mailing purposes and support personnel where applicable;
  • Maintains confidential records related to the Grants, Foundation and its donors;
  • Serves as receptionist to College for Development Office area;
  • Provides support in the following areas: telephoning, filing, photocopying, faxing, scheduling meetings, e-mailing, and bulk mailings;
  • Maintains inventory of supplies, orders, and, when necessary, obtains price comparisons;
  • Uses Raiser's Edge (database software) and Access Grants Database to maintain records, create queries, reports, and mailings;
  • Organizes and maintains solicitor records for the Annual Fund Campaign and interacts with key volunteers;
  • Design, prepare and send emails, invitations and postcards to all constituent groups;
  • Prepares and assesses donor research reports;
  • Prepares donor acknowledgment letters;
  • Attends and takes minutes at monthly Foundation Board and quarterly Alumni Association meetings;
  • Sorts mail and prepares bills for payment; and
  • Performs other tasks and/or special projects as assigned by Foundation administrators.

Requirements

MINIMUM QUALIFICATIONS:

  • A minimum of two years of college in related field or Office Assistant certification;
  • A minimum of at least two years of full-time or equivalent part-time, experience working in an office environment, in higher education preferred;
  • Proficiency in computer software, e.g. Microsoft Word, Excel, Access, Internet Explorer, and Outlook; and
  • Direct experience with relational database programs.

REQUIRED SKILLS, KNOWLEDGE AND APTITUDES:

  • Ability to be flexible in order to accommodate extra hours during busy and stressful periods;
  • Ability to be self-directed and work well as a team member;
  • Ability to work with minimum supervision;
  • Ability to learn new software; and
  • Ability to maintain harmonious relationships in the work environment and with the general public.

PREFERRED QUALIFICATIONS:

  • Experience with Raiser's Edge and Banner software and some programming experience; and
  • Demonstrated commitment to promoting diversity and global multiculturalism.
