Detailed Job Description

Under the supervision of the AVP for Student Financial Services, the Office Manager provides organizational, administrative, and office management services to the Student Financial Services Office. Responsible for assisting with financial aid, student employment and scholarship program support. Has frequent contact with applicants, students and their families regarding questions about student financial services. Assists the AVP and Directors in the production of annual reports on Student Financial Services.  Serves as a backup resource to the front line communications of the Student Financial Services department. Supervises a team of student employees.

  1. Provide office management to support the mission, goals, and overall functioning of Student Financial Services as they relate to the college’s Comprehensive Enrollment Strategy.
  2. Supports application processing and coordination of procedures for Berklee Online. Works within the BOL team to provide administrative support to the processing of financial aid applications for online students.
  3. Manages an annual office calendar for all Student Financial Services activities in cooperation with Admissions, International Programs, Bursar, Registrar and Academic Departments. Ensures the calendar is updated regularly.
  4. Provide administrative support for the AVP: Manage the AVP’s work calendar, coordinate meetings, take meeting minutes, reconcile expense reports, answer and direct incoming phone calls for the AVP, submit check requests and travel expense reports.
  5. Assist the AVP in developing reports and presentations: Assist the AVP with the development, production and distribution of yearly and semesterly reports.
  6. Provides administrative support to the Director of Student Employment, the Director of Financial Aid Operations and the Director of Scholarship Operations.
  7. Manages office supply orders.
  8. Maintains and develops documentation of office policies and procedures.
  9. Provides Administrative support to the annual Spring Awards Ceremonies.
  10. Assists in posting awards in PowerFAIDS.
  11. Functions as a secondary contact for general office correspondence and inquiries. Responds to questions and clarifies information concerning programs, dates, student feedback etc. Responds to a variety of standard inquiries via email and phone. In consultation with the AVP and Directors, responds to inquiries that are not served by standardized automated responses.  Ensures accuracy of information provided.
  12. Manages a team of student employees. Hires, trains and supervises a team of student employees. Works with the staff to interview and screen student employment applicants. 
  13. Assists AVP with informing the Department of Public Information of all entering student scholarship award recipients.  Provides OPI with bios of particular scholarship recipients when requested.
  14. Other duties as assigned.

  • Management skills: ability to manage multiple high-level office functions, policies, and programs.
  • Strong administrative skills. High level of proficiency in use of technology including (but not limited to) Colleague, Excel, Word, Powerpoint, Pages, Keynote, Numbers, Filemaker and PowerFAIDS.
  • Strong written and verbal communication skills: able to conduct both written and oral communication in an articulate, professional and knowledgeable manner.
  • Supervisory skills: ability to effectively train and supervise a team of student employees.
  • Demonstrated capacity to develop & maintain effective working relationships with individuals & organizations reflecting a broad range of identities, perspectives & experiences.

Required Experience

  • Undergraduate Degree required.
  • A minimum of two years administrative experience required.
