Under the supervision of the Program Manager/ Assistant Director, the Berklee Study Abroad Temporary assistant will oversee and assist in providing administrative support and assistance with student application processing and the student visa process. This position will focus on providing administrative support for students as they prepare for their semester abroad. This will include coordinating and scheduling meetings; providing administrative support to the Study Abroad program; and representing Berklee Study Abroad to both Berklee and non-Berklee students.
Essential Job Duties:
Act as a point of contact for students, parents, faculty, and staff; advise students on the Berklee Study Abroad program.
Meet, correspond, and assist students with preparing their visa documents
Create Berklee Acceptance Letters and Insurance letters
Make copies of student passports and other important documents
Organize and file documents for Spanish Consulate appointment
Mail student documents through UPS mailing system as requested
Prepare and send program packets to study abroad students
Maintain student records in Salesforce
Organize and follow up with applicants that are missing materials or documentation in salesforce
Maintain records (digital and hard copies) for participants in BSA
Will provide support and assistance of visa applications at the Consulate of Boston and retrieve them once they are processed
Qualified candidates will have experience that shows they have strong interpersonal skills, are motivated, are highly organized, attentive to detail, sensitive to confidential information, mature and responsible.
Excellent verbal, written and interpersonal communication skills
Ability to prioritize workload to complete tasks successfully and in a timely and efficient manner.
Experience working with student visas or visa regulations
Knowledge of Google platform, Mac operating system, MS office, or Filemaker Pro
Preferred experience working at a college (Study Abroad Office, International Scholars office or study abroad experience helpful) and advising students, parents, staff, and faculty in a culturally diverse environment
