The Academic Affairs Specialist – Curriculum and Scheduling Systems position manages the Collegewide operation and maintenance of academic systems that support curriculum, degree requirements, transfer programs, course scheduling, and room scheduling. Responsibilities include but are not limited to, setting up, testing, troubleshooting PeopleSoft functions, submitting and verifying curriculum to the WTCS for approval, overseeing transfer systems and crosswalks, supervising the scheduling technicians, training staff in PeopleSoft, 25live, x25, and 25Live Accounting and Invoicing. This position reports to the Senior Director of Curriculum.
*Manage electronic academic advising system. Set up, test, and trouble-shoot system as necessary.
*Manage College room scheduling process and troubleshoot, test and expand various modules within the software.
*Oversight of College scheduling processes.
*Supervise College Scheduling Technician positions.
*Oversee the maintenance of college transfer credit crosswalks and Transfer Information System (TIS) equivalencies.
*Submission and verification of course and curriculum to the WTCS approval system. Identify/verify aid codes, instructional areas, hour/credit calculations, etc., in assigning course numbers for college courses.
*Communicate and update status of course approval requests, utilize online statewide system to provide data on statewide course offerings, and provide required reports.
*Manage College curriculum files to ensure balance of credits, prerequisite/corequisite requirements and currency of data.
*Communicate with appropriate individuals/groups regarding curriculum issues.
*Collaborate with WITC Web Manager and WILM partners on Curriculum to Web interface on College program Web pages
*Manage PeopleSoft functions related to courses, curriculum, class scheduling, and verification of course and class fees.
*Test, troubleshoot and maintain PeopleSoft and R25 systems and provide assistance to end users on a daily basis.
*Assist continuing education division on development of courses to meet state approved requirements.
*Provide assistance to Senior Director of Curriculum.
*Serve as liaison with College and state technical college system staff on course and curriculum issues.
*Serve as a resource to college staff on information related to courses, curriculum, and scheduling.
*Serve on WILM Catalog Team and Campus Solutions Team.
1. Bachelor’s degree or equivalency.*
2. Two-years work experience in post-secondary education.
3. Documented supervisory experience.
4. Ability to manage a comprehensive program curriculum system; knowledge of curriculum design and development.
5. Excellent written and verbal skills; ability to interact effectively with all levels of internal and external customers.
6. Project management experience, strong organizational skills and demonstrated ability to multi-task.
7. Experience with PeopleSoft and Resource25 preferred.
*7 years occupational experience is equivalent to a bachelor’s degree.
