The Associate Director will assist the Director of Financial Aid with the overall leadership, management, operation, and compliance requirements associated with the financial aid office in processing and delivery of over $10 million in annual Federal, State, and Institutional funds. Duties include participation in strategic planning for financial aid services; development of a quality oriented, student-focused service environment, and leadership for the development, implementation, and maintenance of MassBay’s Financial Aid operations. The Associate Director will be responsible for operational aspects of the office and will assist with the development of office policies, supervision of financial aid staff, training staff on file review, verification, daily operations, computer programs, and serve as acting Director in the Director's absence.
Key Responsibilities and Duties:
Manage daily operations of the Financial Aid Office: Includes processing of electronic Financial Aid records, new ISIRs, EDE corrections, Pell and loans processing, packaging, and disbursements: reconciles any rejects, discrepancies and error reports, and performs reconciliation of various aid programs;
Assist with on-going development, implementation, and assessment of efficient and effective office policies and procedures to align with MassBay’s directives and all federal and state guidelines, with attention to continuous improvement efforts;
Assist with PowerFaids and Peoplesoft financial aid maintenance and system set-up;
Assist in completion of required federal, state, and institutional reporting requirements as appropriate (such as IPEDS, FISAP, and MA Year End Report etc.);
Review students to determine compliance with satisfactory academic progress requirements in accordance with federal regulations and institutional policy and oversees SAP communication with students;
Assist in the preparation for the Financial Aid portions of the annual A-133 and State audits;
Responsible for maintaining current knowledge in all aspects of financial aid including changes to federal and state regulations, participating in annual trainings, professional organizations, and conferences to keep abreast of new information and program changes to be implemented;
Assist in keeping OFA staff informed of new and/or changes to regulations, legislation, code, policies and procedures, including identification and dissemination of appropriate training opportunities, and planning and participation in regular FAO meetings;
Responsible for calculating Federal Return to Title IV (R2T4) and state refunds and updating enrollment and packaging for leaves and withdrawals;
Oversee and/or complete special projects assigned or directed by the Director of Financial Aid;
Participate and/or conduct presentations at events requiring a Financial Aid presence held on and off campus such as Open Houses, Orientations, Financial Aid Workshops, etc., which will occasionally require weekend and/or evening hours;
Interact and develop strong working relationships with appropriate College personnel as related to financial aid programs (Student Accounts Office, Academic Advising Office, Registration Office, Office of Information Technology & Admissions Office, etc.);
Serve as liaison between Financial Aid Office and IT staff as necessary to implement required systemic and software updates, and to create and modify reports;
Other related duties as assigned.
Bachelor’s degree required; Master’s degree preferred;
Five (5) years of related experience, supervisory experience preferred;
Strong attention to detail in all areas of responsibility;
Ability to effectively manage multiple high-priority tasks on deadline;
Ability to work with and establish rapport with a diverse student population;
Strong knowledge of Federal and State regulations regarding financial aid;
Ability to work flexible evening hours and weekends, if needed, at all campuses;
PowerFAIDS, PeopleSoft & EDE experience strongly preferred;
Experience with financial aid systems such as EdConnect, FAA Access to CPS online, NSLDS, and COD required;
Experience with community college level population preferred;
Demonstrated ability in the interpretation and compilation of statistical and financial data;
Ability to prioritize work, multi-task, and handle interruptions in a courteous manner;
Proficiency in oral and written expression.

Salary Range: $65,000 - $75,000
