Under immediate supervision, provides general office support. The position serves as secreterial support for the day-to-day operations of the assifned area(s) including preparing correspondence and reports as directed
Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, copying forms, and other office procedures and terminology; knowledge of principles and processes for providing customer and personal services, including customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction, proficient in computer software skills e.g. word processing & spreadsheets; ability to communicate information and ideas in writing so others will understand; ability to consider the relative costs and benefits of potential actions to choose the most appropriate one from predefined guidelines or solutions; ability to easily navigate the internet; ability to use interpersonal and communications skills to represent the work area
High School Education and 1 to 3 years experience
Greet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs; supports Doctor’s Office Building (DOB), offsite hospitals and staff by screening phone requests and routing to proper faculty and fellows; makes travel arrangements and processes expense reports for research faculty members
Registers all patients for procedures and clinic visits performed at outreach locations; records breath test procedures and follows up with physicians for completion of these tests; responds to inquiries requiring a basic understanding of work-area policies and procedures.
Provide secretarial support to division management.
Orders, receives and distributes supplies for the division; place service calls for office equipment; transports mail and distributes to division, prepares Federal Express shipments.
