Detailed Job Description

The GBTC College Services Operations Assistant I/ II is responsible for the dissemination of information to the general public and students of the Anne Arundel Community College. In addition, the Operations Assistant I/II is responsible for providing operational support for activities and processes related to public inquiry, students, faculty and staff, room scheduling management, database, and office systems.


Respond to all external and internal inquire's, received in person, by telephone or by mail, concerning credit and noncredit college programs and activities at the Glen Burnie Town Center. Refer program-specific inquire's to appropriate personnel as necessary.

Assist students in obtaining information, registering for courses, researching and resolving problems, paying bills, and scheduling appointments for advisement, testing and financial aid services.

Responsible for training temporary employees in GBTC college services and directing the daily workload for that staff.

Maintain current knowledge of college policies and procedures concerning student support services for credit and noncredit students.

Process credit and noncredit registrations including senior courses, conferences and contract education.

Process credit admissions applications.

Take and record payments, calculate daily accounts receivable and forward to the Business Office.

Provide comprehensive instructional support to faculty.

Maintain the security and confidentiality of student records, testing materials, payments, correspondence and other documentation of a sensitive nature.

Assist in the assignment of rooms for classes, meetings and events at GBTC.

Generate weekly GBTC room schedule.

Sort all mail and faxes received at GBTC and distribute to appropriate personnel.

Ensure that all current college publications and promotional materials are readily available to the public.

Maintain an inventory of instructional supplies in all classrooms and computer labs.

Provide support to the Coordinator of College Services as requested.

Other duties as assigned by the Coordinator or Director.  

Required Qualifications

High School diploma or equivalent required.

Minimum of three years experience in a customer service related environment.

Intermediate level proficiency in Microsoft Office Suite applications, Word, Excel, Power Point, and Access, especially related to instructional support or office systems required.

Excellent oral, written and interpersonal communication skills, including a clear telephone manner and superior customer service skills including conflict resolution.

Ability to work independently with minimal supervision, and attention to details and deadlines.

Ability to deal effectively and tactfully with students, faculty, staff, administrators, and the public.

Ability to work a flexible schedule including day, evening and weekend hours to accommodate the needs of the program.  

Preferred Qualifications

Working knowledge of college operations and resources highly desirable.
