Under general supervision, provides general administrative assistant support for a department or group of professionals. Provides support for two specific programs. The incumbent is responsible for monitoring financial transactions and budgets, coordinating travel arrangements, and on-boarding adjunct faculty.

Minimum Qualifications

High School education or its equivalent; supplemented with five to eight (5-8) years of related experience.

Job Duties and Responsibilities

Assists in the preparations of departmental budget; monitors all departmental budgets; maintains bookkeeping system; reconciles departmental p-card; and prepares financial and administrative reports.

Handles all adjunct faculty, guest lecturers, and lab assistant issues, including creating and monitoring eMOAs and EPAFS; communicates and interprets policies and procedures; develops procedures for assigned area(s) upon need; responds to questions; and resolves issues of moderate to high complexity.

Monitors financial performance of clinical services, including tracking and reconciliation of billed hours and clinical revenues and expenses; and tracks departmental recoveries and development funds.

Coordinates administrative services; makes arrangements for events and meetings; assists with timekeeping; composes and types correspondence; makes travel arrangements; and prepares expense reports.

Creates financial reports and assists with accreditation reporting; handles confidential issues and sensitive records on a regular basis using discretion and judgment.

Provides work leadership for other office staff; trains and follows-up on the work of others; and performs evaluations of staff.

Performs other duties as assigned.
