Under the direct supervision of the Associate Director, Admissions Operations, works collaboratively in a regional team that includes two Assistant Directors or other manager, focusing on targeted enrollment objectives for the designated region. Assists and advises applicants within caseload through the application and enrollment process. Is fully responsible for the quality control of the processing of applications and related materials for those applicants. Is responsible for clearly communicating application status and procedures to these students. Counsels prospects, applicants and enrolling students as appropriate. Supports the college’s recruitment efforts through participation in on campus and off campus recruitment activities. Ensures that application services to prospective students are executed in a manner that fully supports the Comprehensive Enrollment Strategy as approved by the Dean. Some travel and weekend hours required.
Essential Duties and Responsibilities:
APPLICATIONPROCESS – Oversees work-study processing of new applications. Provides quality control step of checking over each processed application and counsels applicants on incomplete files. Determines which applications are ready for the Board of Admissions
Evaluates and provides a detailed academic assessment for all domestic applications. This assessment impacts an applicant’s eligibility for admission as one of the three Primary Quality Rating components used for selection by the Board of Admissions.
Identifies special or highly qualified applicants and tags them as such in the admissions system.
Conducts applicant interviews and assesses an applicant’s fit to Berklee. This assessment impacts an applicant’s eligibility for admission as one of the three Primary Quality Rating components used for selection by the Board of Admissions.
Provides technical support when necessary to applicants and enrolling students.
INFORMATIONADVISINGANDCOUNSELING– Advises prospects, applicants, admitted students and their families regarding admissions application, interview and audition policies, procedures for scholarships, general financial aid information, housing and other pertinent topics via the phone, in person, and in writing. Advises applicants and prospects concerning college programs (summer programs, majors of full time students, etc.). Provides options on how to finance their education at Berklee. Counsels applicants and admitted students on alternative options for getting to Berklee. Advises enrolling students on required documentation, policies and procedures, including immunization processing and advising.
CUSTOMERSERVICE – Upholds a high level of customer service to maintain applicant satisfaction during the entire admissions process, from the prospect level to matriculation.
RECRUITMENTACTIVITIES - Responsible for the effective management and oversight of a 5-6 person team for domestic and international A&I trips. Responsible for effective budget management, travel arrangements, equipment rental, quality of the prospective student experience and overall successful execution of the event. Will also occasionally represent the college at college fairs and other off-campus recruitment events as assigned. Responsible for follow-up activities, including personalized follow-up with applicants, a written evaluation of events, expenses, analysis and recommendations.
CORRESPONDENCE - Responds to questions and clarifies misunderstandings concerning the application process and the materials submitted through matriculation, as well as communication to enrolling students on documentation requirements.
APPLICANTUPDATES: Processes incoming mail by assigned caseload that arrive separate from the student’s application. Updates the Admissions system so that data is accurately reflected in the portal.
APPLICANTSTATUSCHANGES - Processes any students withdrawing, changing semesters, reactivating to a new semester, completing deferral requests, requesting reevaluation, processes audition reschedule requests within assigned caseload, including sending the appropriate letter depending on applicant's status. Counsels admitted students on the re-audition for scholarship process. Advise and counsel students on the policies surrounding these procedures.
FOLLOW-UPS: Responsible for regular follow-ups with applicants and admitted students within assigned caseload including missing information required in order to complete the application and matriculation process. Manages immunization form processing and counseling, determines proof of high school graduation. Provides matriculation assessments for the Office of Admission based on required documents received and correspondence with student.
TRANSFERCREDIT – Determines whether a college transcript or Advanced Placement scores are official and coordinates entering student transfer credits with Registrar's office by assigned caseload. Provides general advising for transfer credit and participates in transfer credit advising workshops.
OPERATIONSTEAM – Serves as a member of the Operations Team, regularly updating processing and correspondence policies to better serve the extensive quantity of applicants and to prepare timely delivery of completed applications to the Board of Admissions. Also maintains familiarity with application, scholarship, audition and Board of Admissions processes, procedures and policies of all Enrollment offices, including technology resources.
COMMITTEEACTIVITIES - Serves on college committees as assigned.
Hires, trains and oversees work-study students.

Strong communication and interpersonal skills to screen and answer telephone and email inquiries, provide assistance, general and technical to prospective students, applicants and parents, as well as enrolling students, and represent the College in public forums.
Familiarity with spreadsheet applications, strong writing skills, computer skills, including database file and advanced word processing use.
Strong organizational skills, and ability to prioritize numerous tasks. Ability to maintain accurate, detailed and orderly records.
Demonstrated capacity to develop & maintain effective working relationships with individuals & organizations reflecting a broad range of identities, perspectives & experiences.
Some knowledge of music and Berklee Curriculum preferred.
Experience in customer service oriented position (college environment preferred).
Ability to travel and work some weekends.
Bachelor’s Degree required.
